PERFORMANCE WORK STATEMENT FOR EBSA’s MFP Maintenance

BACKGROUND

EBSA is seeking to acquire 12 months maintenance services for 54 Ricoh Multi-Function Printers (MFPs) located nationwide. These MFPs were purchased between the years 2010 - 2015. A document listing the models and locations of the MFPs is attached.

An agency decision was made in FY2016, which directed OASAM, to manage the agency’s MFP maintenance contract. This current request reflects the seventh year renewal of maintenance for the agency’s MFPs.

REQUIREMENT

• Keep MFP in good working order

• Provide maintenance services that provide preventative and repair services

• Provide service techs onsite, during business hours Monday through Friday except for holidays

• Response time will be the same day for calls placed by 12 noon and next day for calls placed after 12pm with an original equipment manufacturer (OEM) parts replacement escalation of

24 hours

• Maintain and repair services, should include the replacement of any parts which are deemed to be unserviceable

• Provide all toner, consumable parts and staples o Consumable supplies include directly related supplies such as toner cartridges and fuser assemblies

• Maintenance shall cover all equipment repairs. Repair technicians should ensure the machine is performing at the manufacturer’s specifications during each visit to avoided degraded quality.

• Repairs include but are not limited to, machine upgrades, diagnostics, providing and installing replacement parts, clearing persistent or severe paper jams and correcting any error messages indicating a defect in the machine’s operation.

• Contractor must carry most common parts with them and will make every attempt to get the machine working on their first visit. Service shall not be considered performed/complete until the equipment is restored to manufacturer’s specifications

OBJECTIVE

To support EBSA’s FY 2015 Operating Plan goal to improve the stability and availability of EBSA’s IT services for the National and Field Office staff.

PERIOD OF PERFORMANCE

One 12 month base year and four (4) twelve month option periods
