DOL-OPS-16-Q-00023
2016 OSHA Annual Conference Responses to Questions
Q: Can exhibits be in the hallway near the General Session or does it have to be in a meeting room?
A: Exhibits may be in the hallway if they are near the registration and the general session room.
Q: Can group be flexible on meeting room set up and use same set up for morning session as afternoon sessions? In many cases in the morning the set-up is U shape and the afternoon sessions is classroom. This will require a lot of room resets and may make it harder for hotels to accommodate.
A: Yes, it may be possible, depending on the room size and shape.
Q: Would you consider any weeks in April. April 19th is a week a hotel wants to offer and they can accommodate the group and make a great offer for that week.
How about any later in June weeks?
A: There a lot of factors that go into the dates, if possible could you send two proposals for both dates. We will consider later dates in June, but the actual dates would have to be taken to the Board for final approval.
Q: I don’t see mention of any food and beverage needs. I know government doesn’t do food and beverage events but sometimes they do. Is that correct?
A: The Government will not be paying for any food or beverages.
Q: On the RFQ it does not have a request for sleeping room rates or availability. Do you need sleeping rooms?
A: Yes
Q: I see on page 2 of the PWS it shows number of people but it doesn’t say how many of those people are out of town and will stay over. Can you provide more info on that?
A: There may be a handful of the total number that will not stay at your hotel or may be local, that number represents the sleeping rooms needed.
