About this file

This document is an Addendum 1 with Questions and Answers for Invitation to Bid (ITB) DOH24-018 issued by the Florida Department of Health for the Students Working Against Tobacco (SWAT) Statewide Meeting. The addendum addresses six specific vendor questions regarding the solicitation requirements, including venue flexibility, submission instructions, hotel space availability, and meeting room configurations. The ITB seeks a full-service hotel in Lake Mary, Florida to host a statewide meeting from June 4-8, 2025, with specific requirements for 125 standard two-bed rooms per night for three nights, additional room configurations, and comprehensive conference facilities to accommodate 275 participants in a theatre-style setup, including five breakout rooms and a board room.

The document clarifies that only one hotel will be used, and the Department is not open to date or space modifications. Vendors must submit one original paper copy and a single USB storage device with their response, following specific submittal instructions that override previous electronic submission guidelines. While no specific budget range is detailed in this addendum, the original solicitation indicates pricing constraints for rooms, meals, and meeting spaces, with youth dinners not exceeding $19 per meal and snacks not exceeding $3 per snack. The bid submission deadline is May 13, 2025, at 1:00 pm, with an anticipated award posting date of May 19, 2025, and the contract will be awarded to the responsive, responsible bidder offering the lowest grand total.

Students Working Against Tobacco (SWAT) Statewide Meeting

# Question Answer

I wanted to reach out to see if you may have flexible dates on this.

No.

2 Can you take a smaller block? No.

In the instructions for submittal in the ITB it states respondents must submit one original paper copy and a single USB storage device with a copy.

Is this correct?

Does this over-rule the conflicting verbiage in PUR1000:

#3 it states that respondents are required to submit responses electronically; acknowledgments hereby include electronic signature by means of clicking the Submit Response button within MyFloridaMarketPlace.

Yes.

Yes, Respondents must follow Section 3.2, Instructions for Submittal.

Please also refer to Section 3.1,General Instructions to Respondents (PUR1001): “The terms of this solicitation control over any conflict terms of the PUR1001”. Note PUR1000 is not the correct form reference for the question.

Can you consider The Ritz Carlton side of Grande Lakes Orlando?

JW Marriott does not have any ballroom space available on Sunday, June 8th, 2025.

No.

Could you please let me know if multiple hotels will be considered to meet these requirements, or if only one hotel will be used?

One hotel will be used.

Due to setup, does the group require a separate General session for 275 and 5 breakout rooms correct?

Are you open to re-using the general session space for the breakouts?

Yes, see Attachment A, Specifications, of the ITB.

Yes.

Failure to file a protest within the time prescribed in section 120.57(3), Florida Statutes, or failure to post the bond or other security required by law within the time allowed for filing a bond shall constitute a waiver of proceedings under Chapter 120, Florida Statutes.
