Receipt of Items

• A representative from EOIR’s Office of Information Technology (OIT) will send the specified number of DOJ Asset tags and EOIR Asset tags to the Contractor within one week of contract award. The EOIR/OIT representative will verify with the Contractor the correct address to ship the labels to.

• The EOIR/OIT representative will provide a sample Excel spreadsheet to the Contractor to track all asset data.

• The Contractor shall have in stock not less than 60% of the required items within two

(2) weeks of contract award. The Contractor shall immediately notify the Contracting Officer and EOIR/OIT representative when they have met the 60% threshold. An EOIR/OIT representative will schedule a time with the Contractor to inspect and receive the equipment.

• The Contractor shall have the remainder of the items in stock and ready for inspection within thirty (30) calendar days of contract award. The Contractor shall notify the Contracting Officer and the EOIR/OIT representative once the remaining items have been received, and a date and time will be arranged to inspect and accept the items.

• The Contractor shall add the serial numbers for each item along with the corresponding asset label number to the asset data spreadsheet and send it to the EOIR/OIM representative.

Storage

• For up to one year after contract award, the Contractor shall securely store all items delivered under the contract in its warehouse on behalf of EOIR until receiving shipping instructions from the EOIR/OIT representative for shipment to an EOIR end destination.

• The Contractor assumes all responsibility for the equipment in its facility and shall provide adequate insurance for the warehoused equipment. The Contractor shall be responsible for risk of loss until delivery of units to the DOJ end destination.

Shipping

• Shipments are expected to be intermittent during the 1-year storage period. The EOIR/IRM representative will notify Contractor via email of the need to ship equipment to an EOIR end destination. The email will specify the date the equipment is needed, the specific model and quantity of each item required, where the items are to be shipped, and the EOIR point of contact and phone number. The EOIR/OIT representative will also provide an internal reference number, such as a service desk ticket number, for each shipment.

• The EOIR/OIT representative will provide the Contractor with any special needs and/or restrictions at the delivery site.

• All shipping MUST include inside delivery, placement of items in the locations specified by EOIR, removal of the items from pallets, and removal of the pallets/transport materials.

• The equipment shall be shipped within 24 hours of notification received at its final destination (CONUS) within 3-5 business days from the time of notification. If delivered hardware or accessories are non-operational, the Contractor shall deliver replacements of the exact make and model of the hardware and the same type of accessories within two business days of the EOIR/OIT representative’s notification.

In these instances, the EOIR/OIT representative will provide the Federal Express account number for the Contractor to use when printing the delivery label for shipping the hardware/accessories.

• If the Contractor does not ship within 24 hours of notification, it shall incur the overnight fee to have the item(s) arrive on time.

• In the event that it is necessary to send to OCONUS (Hawaii, Saipan, Virgin Islands, or Puerto Rico) EOIR/IRM accepts that there will be an additional charge that will be stated in a CLIN at the time of the award. The EOIR/OIT representative will send the Contractor notification and request a fixed price quote from the Contractor via email.

The Contractor shall submit the quote back to the EOIR/OIT representative, and the EOIR/OIT representative will provide the Contractor with its final shipping instructions.

• If EOIR requires items to be shipped overnight to a location, the EOIR/OIT representative will notify the Contractor of the requirements via e-mail and request a fixed-price quote for the special shipping/delivery charges. The EOIR/OIT representative will determine how to proceed and notify the parties via e-mail.
