About this file
This is a bid form and description of work document issued by the Cuyahoga County Board of Elections (CCBOE) in Ohio for the rental of tables and chairs to support the November 3, 2026 General Election. The CCBOE seeks to rent furnishings for polling locations that lack sufficient quantities for the election. The project requires delivery of 300 eight-foot banquet-style folding tables with smooth writing surfaces, minimum 28-inch ground clearance, and rubber-capped legs; 800 comfortable metal or plastic chairs with rubber caps; and delivery and pickup services to various locations throughout Cuyahoga County. All deliveries must be completed by 3:00 PM on Monday, November 2, 2026, with pickup beginning Wednesday, November 4, 2026. All items must be delivered directly inside each location, with no outdoor placement permitted. The bid form quantities are contingent and may be adjusted based on actual location needs; payment will be based on actual deliveries executed. Vendors without prior work history with the CCBOE must submit three business references with their bid.
Pricing must be all-inclusive of rental and delivery and pickup services. The selected vendor is required to coordinate directly with each polling location for delivery and pickup scheduling, using a provided location list containing addresses, contact information, and operating hours. The vendor must acknowledge unbiased business conduct and neutral political engagement as a material requirement of contract performance, given the critical nature of election administration. Questions regarding the bid, purchase order, and location logistics should be directed to the designated CCBOE staff contacts: Vicki Racette for procurement matters, and Greg Fleming or Marty Lynch for location-specific coordination.

Description of work:
Rental of Tables and Chairs for the November 3, 2026 General Election.
The Cuyahoga County Board of Elections (CCBOE) rents tables and chairs for polling locations that do not have enough for the election. The selected vendor must schedule deliveries with each location. Deliveries to all locations must be completed by 3:00 PM on Monday, November 2, 2026. Deliveries may be prior to that day, with direct approval from the locations. Pick up of tables and chairs to begin Wednesday, November 4, 2026, and to be coordinated directly with each location. All items shall be dropped off directly inside of the location - nothing shall be left outside.
See location list attached to the RFB for location addresses, contact information and hours of operation. There is a possibility that the attached list of locations will require minor adjustments, as some of the locations' needs may change. Due to this possibility, the quantities listed on the bid form below are slightly higher than those indicated on the attached list of locations to serve as contingency. Payment will be made based on the actual number of deliveries of these items. The CCBOE will notify the vendor of any changes.
Price should be all-inclusive of the rental of tables & chairs and delivery/pick up.
