About this file
This is a specification document for a Mobile High Density Filing System procurement issued by the State of Maine Department of Environmental Protection. The project requires the design, supply, and installation of a mechanically assisted mobile high-density shelving system in an approximately 12-by-23-foot space to store end-tabbed letter size files in hanging file boxes. The system must include a mechanical assist system with full-length drive shaft capable of moving multiple carriages simultaneously, with a gear ratio of approximately 1:8,000. The specification calls for a maximum number of carriages to fit the space while maintaining a 43-inch aisle from the outer wall, with one stationary carriage against the inner wall and all others mobile and double-faced. Each carriage face must consist of four shelving units measuring approximately 84 inches high by 36 inches wide by 13 inches deep with rails spaced 11 inches apart vertically. The system must include sufficient plastic hanging file boxes to fill all shelves, with 50 percent being 4-inch wide boxes and 50 percent being 6-inch wide boxes. Carriages and shelving must be painted in tan, sand, or London Fog color with rotating ergonomic cranks and standard locking devices at mobile carriage ends.
The vendor must provide system design and shop drawings for approval prior to installation, which must be completed by a company authorized by the manufacturer. The successful bidder must provide on-site training and demonstration of system operation and safety features to Department personnel. The vendor must also supply operation and maintenance documentation including contact information for the nearest qualified service firm, parts lists, operating instructions, and manufacturer servicing recommendations. Warranty coverage must extend for three years following installation, with defects related to safety or operational interruption corrected within 48 hours of notification and other defects corrected within 10 working days. The vendor is responsible for protecting all flooring, walls, and fixtures during installation and for removing all crating and debris from the site upon completion.

Specifications for Mobile High Density Filing System April 2008
Design, supply and install a mechanically assisted mobile high-density shelving system to fit an area measuring approx. 12 feet by 23 feet. System will be used to store end-tabbed letter size files in hanging file boxes.
Minimum Specifications:
Mechanical assist system with full-length drive shaft.
Users must be able to move multiple carriages at one time.
Gear ratio approx. 1:8,000.
Foundation of ¾” tongue and groove plywood.
The number of carriages (ranges) should be the maximum that will fit in the space and must allow the creation of a 43” aisle measured from the outer wall.
Rail stops should be installed at 12” from outer wall (rails will extend beyond the outer range when the aisle is at the outer wall).
Carriage mounted bumpers for spacing.
One single faced stationary carriage to be mounted against the inner wall of the file room; all other carriages to be double faced and mobile.
Each carriage face to consist of four “shelving” units measuring approx. 84” high x 36” wide x 13” deep with rails to accommodate hanging file boxes. Vertical spacing of rails to be 11”.
System to include sufficient plastic hanging file boxes to fill all shelves in the filing system (50% to be 4” wide boxes, 50% to be 6” wide boxes).
Rotating ergonomic crank at all mobile carriage ends adjacent to aisle access.
Standard device to lock drive mechanisms or disable carriage movement at each mobile range crank when being accessed by users.
End panels must be one piece face construction designed for easy access to drive mechanisms. Size of panels to match carriage frame, height to extend from carriage frame to above shelving top panels.
Paint color of carriage and shelving to be tan, sand or “London Fog”.
Installation requirements:
Vendor shall make provisions to protect all flooring, walls, trim, hardware, light fixtures, etc. that he may come in contact with during the installation. Agents of the OWNER shall restore any surface or material damaged during the installation to its original condition and the Vendor shall be charged with the direct expense thereof, which shall be deducted from final payment. Any damages to the product shall be repaired or replaced by the Vendor to the satisfaction of the OWNER.
Remove all crating, shipping material, and other debris resulting from the presence of the vendor from the site.
Vendor is to leave premises in a clean and neat condition.
Additional Minimum Requirements:
System design/diagram must be approved prior to installation.
Installation must be performed by a company authorized by the manufacturer to install and service the system specified. Installation must be completed pursuant to the manufacturer’s requirements.
The successful bidder must provide an adequate amount of time for on site training of system performance to Department personnel who will be operating the system. Demonstration to include recommended system operation and safety features.
The successful bidder must provide shop drawings of the system which include: 1) plan layout of the system indicating track location, extent and spacing, aisle access, crank locations, fixed and mobile ranges, dimensions, etc.; and 2) clearances to adjacent building elements.
The successful bidder must provide operation and maintenance data, including: 1) name, address, telephone number, facsimile number and e-mail address of nearest firm qualified to service system; 2) parts lists referenced to drawings illustrating parts; 3) operating and troubleshooting instructions; and 4) manufacturer’s recommendations for servicing frequencies and adjustment.
Warranty coverage must include correction of defects occurring within three years after purchase and installation of the system. Defects related to safety or causing interruption in operation must be corrected within 48 hours of notification by the Department. Defects not related to safety or causing interruption in operation must be corrected within 10 working days of notification by the Department.
