About this file

This is Addendum #2 to a Request for Proposals issued by Chippewa Valley Schools for Bid Package 19-T16, a server infrastructure and management system project funded through the district's 2018 Bond Issue. The addendum addresses clarifications regarding the district's current technology environment and project requirements. Bid proposals are due by 2:00 PM on Thursday, March 19, 2026, with post-bid interviews expected to be scheduled for the week of March 23, 2026. The project involves migrating 108 virtual machines from the existing VMware 8.0.2 environment (which expires in October 2026) to a new infrastructure, with bidders responsible for coordinating the migration with district technology staff. The district currently operates a Microsoft-standardized ecosystem with Cisco switching equipment at the core, building, and access layers, and requires support for domain controllers, DHCP, print servers, SCCM, Entra, ClassLink AD Sync, and climate control systems, with both Windows and Linux operating systems represented across the virtual machine environment.

The current storage environment contains approximately 107.27 TiB total capacity with 45.94 TiB in use, and the district is requesting a new array with roughly 52 TB of capacity (13 x 3.84TB drives), accounting for 10% annual capacity growth over a five-year period. No data compression, reduction, or encryption requirements have been specified, and vendors are permitted to recommend appropriate block protocols and storage solutions. The awarded vendor is responsible for removing and recycling all existing hardware according to EPA and DOD standards, with applicable credits to be provided for removed equipment. The project requires notarized signatures on all bid submissions, and all work is being treated as a turnkey solution, with cabling provisions included for any unforeseen issues despite the infrastructure being installed in the existing server location.

All requirements contained in the Contract Documents shall apply to this addendum and the general character of the work called for in this addendum shall be the same as originally set forth in the applicable portions of the contract. Addendum No. 2 is hereby made a part of the contract documents and shall assume its position of relevance in the contract documents.

ITEM No. 1: Questions & Answers

Q: Current switching environment (brands/models)?

A: Cisco Nexus 93240YC-FX2 (district core switching)

Cisco 9500-48Y4C (building L3 switching) Cisco 9200L-48P-4X (access layer switches)

Q: Switch airflow orientation (IO to PSU or PSU to IO)?

A: IO -> PSU

Q: Current connectivity speed (10g, 25g) ?

A: 10G.

Q: Power voltage: 100-120V or 200-220V?

What types of connectors are they using for power cords?

A: 120v, standard 3-prong cord.

Q: What are the main applications running on the VMs today?

A: Domain controllers, DHCP

Q: Do they run a student information system or ERP, any learning or testing platforms, and any performance sensitive databases on prem?

A: These are not hosted on CVS servers.

Q: Block Protocols: iSCSI or Fibre Channel (or both)?

A: Vendor can recommend what will work best for proposed solution.

Q: What are the requirements regarding data compression, data reduction, or encryption?

A: None are required.

Q: To size accurately, we need to understand all data that will be allocated on the new cluster.

According to Live Optics, all data currently comes from VMs:

LO storage:

• Used: 45.94 TiB

• Free: 61.33 TiB

• Total: 107.27 TiB

Is the customer planning to add any additional workloads or migrate any new datasets onto this platform beyond what’s in Live Optics?

A: Please just account for the annual growth specified.

Q: Your Storage "1 x 500T". What is this referencing too? Can you clarify the total amount of storage you would like for an array? (Here is a screenshot. It is on Page 46 of 50.)

A: PowerStore 500T = model number (not requested storage capacity) Requested storage: 13 x 3.84TB drives (for roughly 52TB)

Q: Regarding the removal/recycling of the old hardware, will CVS handle this, or will this be the responsibility of the awarded partner?

A: It is the responsibility of the awarded vendor to remove/recycle old hardware, and provide a credit for said removed old hardware, when applicable. All equipment to be removed must be disposed of according to EPA and DOD standards.

Q: Are you standardized on any ecosystem (Microsoft, VMware, Linux, etc.)?

A: Microsoft

Q: What types of workloads will be virtualized?

A: Domain Controllers, DHCP, Print Server, SCCM, Entra and ClassLink AD Sync, climate control systems

Q: What operating systems will run in the VMs (Windows, Linux distributions, etc.)?

A: Microsoft, Linux

Q: How many VMs are there?

A: There are 108 VMs total.

# of VMs per node:

1 – 13

2 – 16 3 – 19 4 – 19 5 – 22 6 – 19

Q: What is the expected growth?

A: Please base your response on annual growth specified in the bid: 10% capacity growth over 5 years.

Q: Will you be migrating VMs?

A: Bidders are responsible for migrating VMs, they will coordinate with District technology staff to do so.

Q: How smoothly are the systems running today?

A: The system is running without issue currently.

Q: Is Docusign an acceptable signature for this proposal?

A: No, Docusign is not an acceptable signature for this proposal as the signature required in Section 00311 must be notarized.

Q: When does existing VMware expire?

A: Existing VMware expires October 2026

Q: What version of VMware is in production?

A: 8.0.2.00500

Q: Section 17100 talks about Low Voltage Cabling. I am assuming the servers are going in the same location as the existing, so there really shouldn't be a need for new cabling except for patching.

A: As this is a turnkey solution, we include Section 17100 for unforeseen issues.
