About this file
This is a Request for Proposal (RFP) issued by Anchor Bay School District for custodial supplies procurement. The District seeks competitive bids for a comprehensive range of cleaning and maintenance products including floor care products, chemical dispensing supplies, hand soap, specialty soaps and sanitizers, floor pads, vacuum bags, paper products, mop heads and handles, gloves, and miscellaneous cleaning supplies. Bids must be submitted by 10:00 a.m. on May 5, 2021, to the Anchor Bay School District Maintenance Office at 51890 Washington Street, New Baltimore, Michigan 48047. Sealed bids will be publicly opened and read aloud on May 5, 2021, via Zoom. Delivery is required to 14 District locations throughout the New Baltimore and surrounding areas. The contract term is two years, from July 1, 2021, through June 30, 2023, with all pricing to remain firm throughout this period. Orders will be placed the first week of each month with delivery expected within one week of order placement. The District reserves the right to request product samples no later than May 7, 2021, with pickup by May 14, 2021. If the District switches to an alternative product line, the vendor is responsible for removing existing dispensers and installing new ones at vendor expense by August 1, 2021, and replacing any failed dispensers at no cost to the District.
All delivery charges, including fuel surcharges, must be included in pricing, and there is no minimum order requirement. The Anchor Bay School District is exempt from state sales tax. Vendors are encouraged to submit voluntary alternates that meet or exceed specifications and should provide itemized product lists with unit prices, as unit prices will govern any additions or deletions to the contract. Bids must be submitted in duplicate and signed by authorized representatives. Bidders must provide a minimum of three customer references for similar services from the past five years and submit manufacturer's warranty sheets where applicable. All bidders are required to provide notarized familial disclosure statements and certifications of compliance with Michigan's Iran Economic Sanctions Act (Public Act No. 517 of 2012). The District is a member of MSBO, HPS, and REMC and expects vendors to provide pricing that most benefits the District while acknowledging potential force majeure situations affecting pricing stability.
