About this file

This document is a Request for Information (RFI) issued by the Centers for Medicare and Medicaid Services (CMS), a federal agency within the Department of Health and Human Services. The purpose of the RFI is to obtain information from vendors on their capabilities to provide multi-function devices (MFDs) to CMS, including network testing, leasing, right-sizing, and maintaining a large number of both black/white and color MFDs.

CMS is seeking information on MFDs that meet the following general requirements and minimum specifications: EPEAT Silver registration or higher, compliance with federal regulations, paper handling capabilities, printing specifications, connectivity, scanning capabilities, security features, and administrative software solutions. CMS has a requirement for at least 75-100 MFDs with the ability to add 15% and obtain a performance-based 12-month contract with 4 option years. Responses to the RFI are due by August 15, 2024. CMS may request demonstrations of the vendors' technology to ensure it meets the requirements. The RFI provides details on the Freedom of Information Act and how vendors can protect confidential information in their submissions.

THIS IS A REQUEST FOR INFORMATION (RFI). This is NOT a solicitation for proposals, proposal abstracts, or quotations.

The purpose of this RFI is to obtain knowledge and information about vendor capabilities to provide multi-function devices (MFDs) to include network testing of the MFDS, to explore alternative solutions, and to determine industry best practices for leasing, right-sizing, and maintaining a large number of both black/white and color MFDs in an ever-evolving, hybrid return-to-work workforce.

CMS may request a company to provide demonstrations of their technology. Demonstrations may occur at CMS headquarters or onsite of the Company’s location and could consist of but not limited to, ensuring the unit’s features offer a consistent user experience across various devices, operating systems, and browsers. Other demonstrations: tactile discernable keys, central identifier on keypad, audio tone operations, OCR results, textual/search PDFs, reverse/invert displays, magnification/zoom and others.
