About this file

This file is internal correspondence from the Orange County Transportation Authority (OCTA) Contracts Administration and Materials Management (CAMM) Director to project stakeholders regarding a landscaping services procurement. The correspondence indicates that OCTA is withdrawing a landscaping services Invitation for Bids (IFB) from the Transit Committee agenda to allow for a revised scope of work intended to minimize project risk. The Project Manager is directed to have the revised scope reviewed by the Health, Safety, Environment, and Compliance (HSEC) department prior to submission to CAMM. The landscaping services contract is for a two-year initial term with a total budget of $550,000 and is classified as a prevailing wage contract subject to California wage requirements.

To accommodate the reprocurement timeline and obtain necessary Board approval, OCTA is extending the current agreement with the incumbent contractor by four months. This extension provides sufficient time to complete the revised scope development, internal reviews, and the full reprocurement process. The decision to revise the scope and extend the incumbent contract reflects OCTA's commitment to risk mitigation in project delivery while maintaining continuity of landscaping services throughout the procurement cycle.

Importance: High

Hi Ellis, Per Johnny and Darrell, we are pulling the IFB item from the Transit Committee agenda and will need to reprocure the project with a revised scope of work to minimize risk. Please ask the Project Manager to have the scope of work reviewed by HSEC before submitting it to CAMM.

We will also need to extend the current agreement with the incumbent by four months to allow suƯicient time for the reprocurement process and Board approval.

Thank you, Pia Veesapen Director Contracts Administration and Materials Management Orange County Transportation Authority 714.560.5619 pveesapen@octa.net 550 South Main Street | PO Box 14184 | Orange, CA 92863-1584
