About this file
This Addenda 1 document addresses questions from vendors responding to an RFQ issued by the Boston Region Metropolitan Planning Organization (Boston MPO) for an audio-visual solution under statewide contracts OFF50 and ITC73. The RFQ seeks qualified vendors to assess, recommend, design, and install audiovisual solutions for multiple collaboration spaces within the MPO's office suite. The scope includes seven 55-inch monitors for offices, displays for conference rooms (including one 75-inch display on a honeycomb cardboard partition wall), and equipment for an open meeting area, with optional add-ons such as scheduler touch panels and media players. Mandatory site surveys were offered on September 8, September 16, and October 27, 2026, with vendor attendance required for at least one session. Sealed bids are due Wednesday, November 4, 2026 at 9:00 AM, with the bid opening scheduled for Friday, November 6, 2026 at 1:00 PM via Zoom. The RFQ requires vendors to provide detailed quotations covering equipment, design, labor, and installation services; both sales representatives and technical representatives may attend site surveys, and subcontractors are permitted.
The addenda clarifies that the solution must support both Zoom and Google Meet platforms, with priority on Google Meet functionality. Additional specifications confirmed include wireless connectivity adapters for Windows and Mac devices in two offices, ceiling-mounted TVs with proper structural support, and floor-to-wall mounting options as alternatives to partition wall mounts. Network jacks will be supplied by building management, but the awarded vendor must provide a comprehensive AV plan detailing electrical, wiring, and data requirements. The existing demountable wall system is a Hauserman wall without available manufacturer specifications. Prevailing wage sheets and OSHA compliance forms are available through the RFQ documentation or upon request from the issuing agency. Current contract eligibility requirements remain in effect through the award process. No pricing terms, set-asides, incumbency information, or funding sources are specified in this addenda document.

Questions and Answers
1. Do you have the specs of the wall type (Honeycomb cardboard) want to make sure it can hold the TV's.
a. The building does not have specs for the existing demountable wall system. We have mounted TVs with a bracket that can tilt forward but not with an extending arm.
2. Would you have any interest in a ceiling mounted tv for the large conference room side wall "Honeycomb Cardboard" (3rd display)shall the wall not be able to handled 75" display?
a. Ceiling-mounted TVs can be used in the building with proper support to the decking above.
3. Do you require a scheduler touch panel for the conference rooms? If so, where would you want it located ?
a. While the scheduler for the two conference rooms was not included in the original RFQ, please include it as an optional add-on.
b. Ideally, install the display on the wall directly outside the two conference rooms. Please note that if you are selected as the awarded vendor, building management will require the audio/visual design, along with all electrical, wiring, and data requirements for the scheduler, screens, microphone, Management tablet, and speaker placement.
4. What platforms are used for meetings?
a. Zoom and Google Meet. The solution can focus on Zoom but must also support Google Meet. We currently do not have a Google Meet or Zoom hardware room license but will purchase based on recommendations.
5. For the open meeting area, to display a playlist, would you need a player for the screen, and can we include it in the quote?
a. As this option was not part of the RFQ, it should be listed as an optional add-on in the quote.
6. For the displays that are mounting on partition walls, Can the display mounts be substituted with Floor to wall mounts?
a. The building has used floor mounts for TVs in the past.
7. Will Network Jacks be supplied by others behind displays, or the AV Vendor?
a. Will be supplied by building management; however, an AV Plan will need to be supplied by the awarded vendor so they can place additional electrical or additional network jacks.
8. Is the partition system manufacturer and model numbers available for reference?
a. Hauserman walls. We do not have a spec for the demountable metal walls.
9. Can a vendor on either OFF50 or ITS73 use subcontractors and should they attent the site survey?
a. Yes you can use subcontractors, a sales representative and a technical representative should attend the site survey.
10. The RFQ lists 12 monitors, including seven 55" monitors for the offices, and also says one 55" screen is already on site. Should bidders quote seven new 55" monitors or six?
a. The specifications call for 55" TV screens. We have one on-site screen that can be used, but it should not be counted as part of the seven required.
11. The prevailing wage sheet and the OSHA compliance form were not included in the document we received. Where can bidders obtain them on COMMBUYS?
a. The prevailing wage sheet and OSHA form links are both available in the RFQ document. If you qualify as an eligible vendor and cannot locate them, please let me know and I will send them to you.
12. Will a bidder that attended neither the September 8 nor September 16 site survey satisfy the mandatory survey requirement by attending the October 27 survey at 10 a.m.?
a. Yes, that is correct.
13. The official OFF50 guide lists an October 31, 2026 end date, while this RFQ closes November 4. Which statewide contract and vendor eligibility will apply at award, including any transition to the replacement contract?
a. The current RFQ eligibility requirements remain in effect.
14. What platform do you require?
a. We mainly use Google Meet but also Zoom. We do not use Teams. The hardware must work with Google Meet, including a scheduler panel as an add-on for the two conference rooms.
15. For two of the offices, we will need the ability to connect wirelessly to the screen. How do we connect wirelessly for both Windows and a Mac?
a. Please include an adapter that allows us to connect wirelessly for these two rooms.
