It is the potential vendors responsibility to follow these directions to be permitted to attend the Pre-Award Site Visit
1. A Site Visit for the Airfield Lighting Management Services solicitation is deemed necessary and is scheduled for 17 August 2023 at 9am PDT. Attendance of the site visit is STRONGLY encouraged but is not required for vendors to be permitted to submit a quotation for this effort.
• Interested vendors must RSVP no later than 10 August 2023 at 4pm PDT. Interested vendors will receive additional instructions when you submit the information requested herein. Each vendor is to submit ONLY ONE list containing all attendees that will attend the Site Visit for your company.
2. IMPORTANT NOTE: ALL INTERESTED VENDORS WILL BE LIMITED TO NO MORE THAN FOUR (4) ATTENDEES (TO INCLUDE
SUBCONTRACTORS INVITED BY THE PRIME CONTRACTOR, IF APPLICABLE).
• All interested vendors who wish to attend the Site Visit are directed to email the information required below no later than 10 August 2023 at 4pm PDT. Interested vendors who wish to attend that submit late or incomplete information will not be vetted for base access which is required in order to attend the Site Visit. For individuals with current base access, you are only required to provide the name of the attendee(s) with a note stating that they already have base access. These individuals are NOT required to provide the following information. However, the following information shall be provided for ALL attendees WHO DO NOT already have base access:

• The above information shall be submitted by email to BOTH the Contract Specialist (Alejandra Negrete at alejandra.negrete@us.af.mil) and the Contracting Officer (Jillian Marroquin at jillian.marroquin@us.af.mil). All attendees will need to have in their possession a valid driver’s license or valid personal identification with photo, valid vehicle insurance for any vehicle that will be driven on the installation and be able to pass a background check if required. If a problem is encountered during an individual’s vetting process, that specific visitor will be contacted.
3. Questions: Please prepare and submit questions in advance of Site Visit attendance, as this will aid the Government in developing responses. The Government will summarize the questions and answers (Q&A) provided before the Site Visit and provide them to all in attendance. Information on questions submitted during and after the Site Visit are addressed in later slides. All questions submitted will be provided to potential vendors prior to the close of the solicitation window, so long as they are submitted in accordance with the directions provided within this Solicitation Attachment-5 slide deck.
Instructions for Attendees

• This Site Visit is not a substitute for the items posted within the Solicitation. Should there be any conflicting information conveyed, either factually or by assumption, the information contained in the Solicitation is binding.
– This slide deck, and any amendments to it, will be posted with the solicitation in SAM.gov
• Taking videos or photos at any time while within the base is STRICTLY FORBIDDEN. Violations will result in being escorted from the Site Visit by base Security Forces (police)

• Description of Work: The contractor shall provide all management, personnel, equipment, supplies, facilities, transportation, tools, materials, supervision, and other items and nonpersonal services necessary to perform Airfield Lighting and Control Monitoring Maintenance and Repair Service.
The contractor shall perform to the standards in this contract. This includes the planning, coordination, and surveillance of the activities necessary to ensure disciplined work performance and timely resources application to accomplish all tasking under the contract.

Vendors are to ensure the Subject line contains the Solicitation number. It is the Vendors responsibility to ensure the above mentioned POCs receive your submitted questions. The Government will acknowledge receipt of any emails received within the Q&A Window but will NOT review any submitted outside that window.
