About this file
This is a sample template letter for contractors to use when requesting image use rights from copyright owners for National Park Service exhibits. The template is designed for situations where the copyright owner does not have their own licensing form and includes placeholders for contractor letterhead, contact information, and specific project details. The letter requests permission to use copyrighted images for the life of an exhibition, with specific requirements for credit line formatting (limited to copyright owner name and organization, without website addresses) and placement options (directly with image, combined credit panel, or exhibition information notebook).
While this template is associated with the Everglades MSD Visitor Center Exhibits project, it is a standard form document that does not contain specific requirements or deliverables for that contract. The template specifies that contractors must not use National Park Service letterhead or logo when requesting image rights.

Please note that credits are limited to the name of the copyright owner and the name of the organization, if applicable; credits shall not include web site addresses. Based on the park’s preference, credit information may be located directly with the image, in a combined credit panel exhibit, or in the exhibition information notebook at the information desk.
Before we can use the image in the exhibit, we will need written permission for the life of the exhibition. If you can grant permission, please sign this letter and return it to my attention.

Sincerely, [Contact person at contractor’s office, and their title.]
The National Park Service is hereby granted permission to use the image cited above in a new exhibit for [name of specific location and NPS site referenced above].
