About this file
This document is Attachment L4 for the State of Florida's Department of Management Services Productivity Tools Request for Proposal (RFP No. 25-43231513-RFP), specifically focused on Service Category 4: Workflow Automation and Task Management. The attachment provides a structured response template for vendors to describe their proposed solutions, with detailed prompts covering workflow automation, task and project management, form and survey tools, and visual process mapping. Respondents must provide answers within strict character limits, with Prompt 1 worth 5 points and Prompts 2-5 worth a maximum of 4 points total. The technical evaluation will calculate scores based on individual evaluator assessments, and vendors are required to submit their responses through the MyFloridaMarketPlace Sourcing Event via the SAP Business Network by April 8, 2025.
The procurement seeks comprehensive digital productivity solutions with a focus on workflow automation tools that can streamline operations across teams and projects. While specific budget ranges are not explicitly stated, the contract will have an initial two-year term with potential renewals and includes a mandatory 1% transaction fee on all payments. Vendors must demonstrate compliance with state regulations, including providing quarterly sales reports, maintaining record retention, and meeting data privacy and security standards. The contract will be available to state agencies and potentially other governmental entities through cooperative purchasing arrangements, with evaluation criteria including cost (2.75 points), technical responses (0-5 point scale), and vendor experience (pass/fail with 0.25 points).
