About this file
This is a Cost Proposal Form for a Point of Sale (POS) System and Customer Relationship Management (CRM) System Request for Proposal issued by the Commonwealth of Kentucky for the Kentucky Historical Society (KHS). The RFP (758-20000000153) seeks implementation of an integrated POS/CRM system to serve approximately 75 users across multiple operational areas including front desk, admissions, and gift shop/retail operations. The proposal form requires vendors to provide comprehensive pricing for a nine-year contract term, with Year 1 covering all implementation costs and Years 2 through 9 addressing hosting and maintenance obligations.
Vendors must submit itemized costs for configuration and implementation, hosting and maintenance across the contract term, custom development services, training, and POS hardware components. The cost proposal requires hourly billing rates for software architects, software developers/programmers, and business analysts for potential future customization work, as well as fully loaded training rates for both in-person implementation training and web-based instruction for approximately 25 KHS staff members. The proposal also requires vendors to list monthly software costs for additional hard-wired and mobile POS terminals and to identify supplementary products to be purchased through existing state master agreements. All product pricing must exclude sales tax as the Commonwealth is exempt from taxation. Implementation costs should encompass all software, interfaces with the Blackbaud system, configuration, project management, software licensing, hosting, support, and maintenance through Year 1, while hosting and maintenance costs in subsequent years must cover all system access, security compliance, software updates, help desk support, and bug fixes.
