About this file

This is a Statement of Work (SOW) for the procurement and installation of one Stryker Neptune Smart Docking Station (120V) for the G.V. (Sonny) Montgomery VA Medical Center in Jackson, Mississippi.

The Neptune Smart Docking Station is a stationary base unit designed to safely empty, clean, and sanitize mobile surgical suction units (rovers) used during operating room procedures without manual handling of biohazardous fluids. The system eliminates the need for staff to manually change waste canisters or dump biohazardous materials. The equipment must be delivered to the facility warehouse no later than 60 days after contract award. The docking station operates on standard 120V AC power (3.0 amps), requires water pressure between 50-120 psi, and connects to facility plumbing via standard garden-hose fittings with a 1.0-inch PVC drain line. The system features electromagnetic/inductive couplers for hands-free power transfer to rovers, three wash cycle modes (Quick Drain at 2 minutes, Standard Wash at 5 minutes, and Extended Wash at 45-50 minutes), Wi-Fi connectivity with cloud-based Smart Equipment Management (SEM) for performance tracking, and compatibility exclusively with Neptune 3 and Neptune S rover units. The contractor must provide a one-year warranty for parts and service and replace the equipment if unable to repair it to normal operational state. Installation will be coordinated with the Contracting Officer Representative (COR), Biomedical Engineering, and TeleHealth OIT Specialist, with a detailed schedule provided at a project kick-off meeting. A Government Acceptance Test will be performed by facility Biomed Service upon arrival, with failed equipment returned to the contractor for replacement at contractor expense.

Features N/A

Analog

Specifications-

AC

Channels

The unit runs off a standard 120V AC wall outlet. Its core analog specifications and

AC/power features include:

1. Pover Requirements: Operates at 120V, AC, 3 amps.

2. Transfer (Coupling): The docking station uses electromagnetic/inductive couplers rather than physical plug-in channels to transfer power directly to the rolling waste unit (the Rover).

3. Electrical Specifications: Designed as a centrally located stationary unit with integrated safety features to handle biohazardous waste.

Digital

Specifications

1. Voltage & Power: 120V- AC, 60 Hz, 3.0A, single phase.

2. Connectivity: Enabled with Wi-Fi capability and Smart Equipment Management

(SEM) to transmit performance data, service metrics, and rover insights to the cloud.

3. Interface: Digital display and notification system for operation modes, alerts. and system tracking.

4. Wash Cycles: Digitally controlled cycles with approximate times:

• Quick Drain: -2 minutes

• Standard Wash: -5 minutes

• Extended Wash: -45-50 minutes

Analog

Specifications

Modes of

Operation

1. Quick Drain I Wash Cycle (Approx. 2 minutes): Designed for rapid O.R. tumaround between cases, this mode performs a fast empty and rinse.

2. Standard Cycle (Approx. 5 minutes): The default operational mode is designed to empty the collected waste fluids into the hospital's wastewater system while running internal rotating power washers and detergent through the rover's containers.

3. Extended Wash Cycle (Approx. 50 minutes): A deep-clean mode typically used at the end of the day to ensure the collection canisters and internal lines of the rover are thoroughly sanitized and flushed

Wireless

Specifications

1. Wireless Standards: Standard Wi-Fi connectivity for wireless internet connection.

2. Data Transfer: Transmits real-time rover insights (location, maintenance needs. run-time) to the cloud at the end of eve!)' docking cycle.

3. Local Communication: Uses infrared and electromagnetic couplers to automatically engage and communicate directly with the mobile Rover unit during docking.

4. Security: Data transmitted is strictly diagnostic; no Patient Health Information (PHI) is included.

5. Hardwire Options: Also includes physical Ethemet and USB ports for software upgrades, maintenance, and localized troubleshooting.

6. Power & Compliance: Requires a 120V (120 VAC, 60 Hz, 12 A) electrical connection and is engineered for medical electromagnetic compatibility (IEC 60601-1 Q) to prevent RF signal interference in the operating room

User Interface N/A

PC Interface N/A

Amplifier

Mechanical

1. Pover Couplers (Wireless Transfer): The system uses electromagnetic power couplers rather than traditional pin-and-socket plugs. It acts like a transformer, where the primary winding is in the Docking Station and the secondary winding is in the Rover. When docked, the two transformer halves align, allowing safe, inductive transfer of power.

2. Hands-Free Cleaning & Emptying: Once the motorized Rover unit connects with the docker, automated pumps and valves engage to drain the surgical fluid waste directly into facility plumbing. It then rinses the internal canisters with clean water and Neptune Docking Detergent 0700-001-026.

3. Mechanical Auto.Down Safety: The Rover features a motorized IV pole that rises and falls. In the event of a power loss or emergency, an internal return spring and brake mechanism engage. If the pole drops mechanically, the motor is back-driven to act as a speed-limiting electrical generator

Operating

Parameters

Electrical Requirements

• Voltage: 120V AC

• Frequency: 60 Hz

• Amperage: 3.0 Amps (single phase)

• Grounding: Requires a protective earth ground

Plumbing & Water Requirements

• Water Pressure Range: 50 to 120 psi

• Temperature Range: 40 to 110 ‘F (4.4 to 43.3 ‘C)

• Connection Type: Accepts standard garden-hose style fitting

• Water Usage: -9 to 11 gallons (34 to 42 liters) per rinse cycle

• Drain Connection: 1.0-inch PVC hose connected to a floor drain or permanent service within 8ft of the docking station

Regulatory

Compliance

FDA Regulations: The core system falls under FDA product codes and regulations for surgical waste and plume management devices. The regular and safe operation of these devices is heavily tied to adhering to the manufacturer’s Instructions for Use.

H. SALIENT CHARACTERISTICS

1. Hands-Free Operation: Uses electromagnetic couplers to automatically engage with the rover for fluid emptying and cleaning—requiring no manual canister dumping or hose insertion.

2. Self-Cleaning Cycles: Employs internal rotating power washers and automated detergent injection to sanitize the rover's internal canisters. Typical wash cycles include a 2-minute quick drain, a 5-minute wash, and an extended 45—50 minute cycle.

3. Cloud Connectivity & SEM: Equipped with WI-Fi connectivity and Smart Equipment Management (SEM). It transmits performance metrics, rover locations, and maintenance needs directly to the cloud to drive compliance and remote error reporting.

4. Electrical Specifications: Operates on 120V power for data transmission, magnetic coupling, and automated wash controls.

5. Utility Requirements: Requires a facility's fresh water supply line (typically 50 to 120 PSI) and a direct waste outlet/drain.

6. Compatibility: Centralized station designed to service both the high-capacity Neptune 3 and the compact Neptune S rovers
