Statement of Work 2024 Charleston Airshow
Airshow Ticke�ng Agent
1. DESCRIPTION OF SERVICES / GENERAL INFORMATION
1.1. Scope. The Charleston Airshow requires the services and consulta�on of a �cke�ng agent to ensure the efficiency of the event logis�cs plan, effec�vely regulate atendance, disseminate �mely informa�on to customers, and project of a professional image for the 2024 Charleston Airshow to be held 20-21 April 2024. Maximum atendance each day of the Airshow will be set at 11,000 passes on 20 April and 11,000 passes on 21 April. Ticke�ng is not necessary for the event date 19 April 2024 as atendance will be controlled through use of issued Department of Defense ID cards.
1.2. SERVICE DESCRIPTION
1.2.1. Ticke�ng contractor shall provide a �cke�ng portal web site to be incorporated into the Charleston Airshow web site (www.airshowcharleston.com). The �cke�ng portal will provide a clear method by which customers may register for a free base pass. Base passes will be required for entry to the two-day airshow on both 20 April (Saturday) and 21 April (Sunday). Base parking passes are free. There will be a handicapped parking op�on. Up to five color coded passes will be required, for volunteers, public, concessionaires etc.
1.2.2. Contractor shall provide all services, staffing, equipment, and technology to perform all du�es listed in this statement of work. All quotes shall be inclusive of all service requirements to include travel and lodging expenses.
1.2.3. Contractor shall provide a customer support phone service from the date of the launch of the �cke�ng portal through 2000 hours on 21 April 2024. The phone service will provide a live person to answer customer ques�ons about �cking and the Charleston Airshow in general. Government will provide a fact sheet from which to answer ques�ons, any ques�on beyond the scope of informa�on provided shall be referred to the government. Fact sheet will be provided at the �me of award.
1.2.4. Contractor shall provide 32 high-speed �cket scanners, at minimum, which will be used by Charleston Airshow manpower to verify �cket authen�city and monitor flow rate/atendance. The number of scanners will support adequate traffic flow to park a maximum of 11,000 cars each day at a flow rate of 4,500 cars/hour. The contractor shall provide informa�on on the scanners such as brand and model.
1.2.5 Contractor will provide training to a minimum 32 JB Charleston personnel who will operate the high-speed scanners.
1.2.6. Contractor will provide email and text campaigns to educate and remind �cket holders of the specifics of the Charleston Airshow such as date/�me of show, direc�ons to enter the appropriate gate for their �cket, prohibited items, day-of cancella�ons/inclement weather details as updated by the Charleston Airshow commitee, and database maintenance to decrease duplicate files, and have the ability to reuse a pass if customer is unable to atend event.
1.2.7 Charleston Airshow will maintain rights to database and collected informa�on.
1.2.8 Contractor and Charleston Airshow will review database informa�on on passes at least one week prior to show execu�on on/before 12 April 2024.
1.3. DATE AND TIME SERVICE IS REQUIRED
1.3.1. The contractor shall provide services within 3 days of award of contract through 2200 hours 21 April 2024.
1.4. MANAGEMENT AND STAFF PERSONNEL
1.4.3. The contractor will work with the parking contractor and the Charleston Airshow commitee to tailor the �cke�ng portal to desired func�onality and presenta�on. POC's will be provided at the �me of award.
1.4.4 The contractor will provide vehicle signage for addi�onal groups in coordina�on with the event logis�cs plan.
1.5. INCLEMENT WEATHER AND EMERGENCY PROCEDURES
1.5.1. In the event of inclement weather bearing poten�ally catastrophic consequences during the Airshow or an emergency, the contractor shall assist Charleston Airshow commitee by sending texts and emails to atendees with updated instruc�ons and informa�on as deemed necessary by the Charleston Airshow commitee.
