About this file
This document is a Q&A file for Request for Proposal (RFP) ASU24009 involving Adams State University's beverage vending and sponsorship opportunity. The document covers multiple clarification points including potential onsite walk-throughs on Wednesday the 28th or 29th, fountain inclusion details for multiple campus locations (Rex Hall, Football Stadium, Vistas Restaurant, Plachy Hall), and volume breakdowns for vending, Bear Necessities, concessions, and innovation/exclusions. The RFP seeks a beverage vendor to provide soft drinks, sports drinks, and related equipment, with approximately 3 double-door coolers, 4 fountains, and 9 small coolers needed across campus locations. A specific $6,000 athletic support component is requested, involving sideline kits, supplies for athletics and concessions, and potential product donations.
The document reveals additional nuanced details about the contract, including campus residence hall capacity (950 student beds with 82% average occupancy), fountain purchase volumes (Sodexo's total fountain purchases from 01/2023 - 02/2024 were $58,910.67), and uncertainty around energy drink category exclusions. The university is seeking a percentage-based commission structure and wants flexibility regarding potential Red Bull sales. The Q&A also indicates the need for a CORA (Colorado Open Records Act) request to obtain the current beverage rights agreement, suggesting transparency in the procurement process. The vendor will need to work collaboratively with existing campus food service provider Sodexo and potentially honor existing national contracts.

▪ Breakdown of specific products requested for donation to support athletics? Water, sports drinks, sodas, and above-mentioned supplies.
▪ Clarification if donated products are to be re-sold? Having the option of using the water, sports drinks, and sodas to also be resold at our Concession stand during our indoor home events (Volleyball, basketball games, etc.) revenue is put towards Athletics
Fundraising Funds. If this is not possible we would want the option to buy drinks at cost.
• Clarification on Guaranteed Annual Commission o Not clear if guaranteed commissions are for each year of the contract or only 2024/2025 school year. Guaranteed annual commission each year, not just FY 24-25
• Proportional increase in commissions? (4.vii) o Not clear if increase in commissions refers to a tiered commission structure or percentage-based structure. We have a percentage-based commission structure and should continue with that structure.

950 student beds; average occupancy 82%
Product for Housing- no need per month, will request on an as needed basis.
• No fountain volume is included in the volume provided by Pepsi on 02.20.24. Is there a secondary provider (Sodexo) that can provide the volume being poured on campus to be included as a factor in sponsorship for the university? Sodexo total fountain purchases from 01/2023 - 02/2024 -- $58,910.67 for bibs this includes the juice bibs.
o Is fountain volume included in your current beverage agreement with Pepsi? Not with ASU but I believe in the Pepsi/Sodexo agreement o Is Pepsi honoring Sodexo’s national agreement? Yes
• We would like to request a copy of the current beverage rights agreement between Adams State
University and Pepsi? Submit CORA request to Open Records Coordinator Tracy Rogers at tracy_rogers@adams.edu
• Is the energy drink category being specifically excluded from this agreement and will the university be seeking a separate agreement related to the energy drink category options available on campus? I don't think we specifically excluded it but I do think we should consider keeping our options open in case we want to sell Red Bull
