About this file

This is a proposal response form for the Town of Cary, North Carolina, soliciting qualified vendors to assess, design, and provide equipment upgrades and maintenance services for television and control room systems at Town Hall. The project encompasses three primary components: audiovisual and broadcast systems, lighting systems, and ongoing maintenance and support services. Proposers must complete all applicable fields in the form, including company qualifications, proposed approach, implementation schedules, and support coverage targets. Site visits are available until September 4, 2026, with questions due by 5:00 PM on September 7, 2026, and final proposals due September 21, 2026, by 5:00 PM ET. Prices must remain valid for 90 days following the proposal deadline. The contract will include a base term for maintenance and support services with renewal pricing and escalation caps specified by the vendor.

Pricing for the assessment and planning phase, equipment allowances, and implementation services for Components 1 and 2 combined cannot exceed $300,000. The Town has not established a specific equipment upgrade scope, so vendors must provide firm, fixed pricing for assessment, audit, engineering, and design activities, while equipment, software, licensing, infrastructure, and installation costs are requested as budgetary allowances or estimates only. Component 3 pricing addresses recurring costs for preventive maintenance, on-call remote support, emergency on-site support, software and licensing subscriptions, warranty coverage, and travel or after-hours premiums, each with specified billing units, base-term pricing, renewal pricing, and escalation caps. Proposers must identify all subcontractors, including any North Carolina electrical contractors responsible for electrical work, and provide at least three references for comparable projects. All proposals must be submitted as searchable PDFs through eVP.
