About this file
This is an addendum to a bid solicitation issued by Lakeview Public Schools for portable air purifiers. The district is procuring air purification units to serve spaces ranging from 500 to 1,500 square feet, with capacity for larger rooms using multiple units. The project requires delivery to seven individual school sites with lift-gate service and inside delivery to each building. Units must be "plug and play" with no installation or unboxing required by the vendor, though the district will handle setup at each location. The bid document assumes eight-foot ceiling heights across all rooms and requires air change rates of 2-4 per hour. Bidders may submit voluntary alternates featuring enhanced filtration technologies such as ionizers or UV systems in addition to standard HEPA filters.
The district will evaluate bid submissions based on best perceived value, considering price, warranty coverage, and the comprehensiveness of proposed solutions. Bidders must address mandatory bid requirements, including options with washable HEPA filters; failure to include this feature will not automatically disqualify a submission but will be compared unfavorably against compliant bids. The addendum permits vendors to submit higher-cost units with extended filter replacement cycles (such as five-year lifespan filters) as voluntary alternates to demonstrate long-term cost savings despite higher upfront expenses. All specifications and delivery requirements apply uniformly across the seven school sites, with addresses provided in the primary bid documents.

Lakeview Public Schools Portable Air Purifiers Bid
Addendum #1
11/4/21
Q: What is required for inside delivery? Would it be considered “white glove” or just bringing inside the buildings?
A: The delivery of the units would be lift gate required and inside delivery only. Unboxing and installation is not required.
Q: When quoting the air purifier that needs to cover between 500-1500 square feet (Option B on page 5), we have a model that is going to be high in terms of the per unit cost but the air purifier has replacement filters that last longer (5 years) than the industry standard (4-5 months).
We're afraid that our proposal for this unit will be rejected due to the upfront cost and that it will not be fully considered even though the unit would save the school district more money in the long term (less maintenance/less replacement filters).
Is there a good way for us to clarify this on our submission?
A: If you want to price both of the units that would be fine. The submittal for the more expensive one could be listed as a “Voluntary Alternate” and we could consider looking at both the items when the bids are submitted.
Q: The introduction states that total installation/set up (where necessary) is required. We would deliver to all the locations with a lift-gate but would not have the capacity for set up. Our machines are ready to use out of the box. Is this acceptable?
A: Yes. Since these items are a “plug and play” installation/set up would not be necessary.
However, delivery with a lift gate is still required to all individual buildings.
Q: What Air Change per Hour you are considering?
A: 2-4 per hour is acceptable
Q: For rooms, larger than 1500 sq. ft., we may have to use more than one air purifier if the ACH is more than 2. Is it acceptable?
A: Yes using more than one in larger rooms is acceptable
Q: We have air purifiers that have HEPA and Ionizers, would you prefer that?
A: That can be put in as a voluntary alternate if you would like to price those
Q: We also have air purifiers with HEPA and UV, do you accept that or do you just want HEPA filter air purifiers?
A: That can be put in as a voluntary alternate if you would like to price those
Q: We have air purifiers with washable carbon and pre-filters. Is that acceptable?
A; Yes that is acceptable
Q: What does the district mean when it writes, “mandatory alternates to bid”? Does this mean if a bid submission does not include options for washable HEPA filters that the bid will be found non-compliant and non-competitive?
A: The bidder is expected to provide a response to all mandatory parts of the bid. If you do not have washable filters, indicate as such. This would not necessarily disqualify from consideration but would be compared to others who do have the ability to include washable filters.
Q: Are bid respondents safe to assume an eight (8’) foot ceiling for all rooms?
A: Yes. Assume 8 foot ceilings.
Q: Will all units be delivered to a central district warehouse or site by the award recipient, then distributed out to the 7 school sites for unboxing and set up by the district? Or is it the district’s intention that units should be shipped directly to the seven respective school sites by the award recipient, and then unboxed and set up?
A: All units are to be delivered to individual buildings. Addresses are listed on the front of the bid document. Since these are expected to be “plug and play” there should be no installation necessary.
Q: In assessing “value” of the bid responses, what percentage in the district’s review criteria will be given to: price/discount? Warranty coverage? Bidding the full package vs not?
A: As indicated in the bid documents, the best perceived value will be recommended for award.
Q: Do you happen to have the number of purifiers needed at each location?
Q: To confirm that you want inside delivery…there is no dock?
A: Correct. There is no loading dock at any of our buildings; therefore a lift gate delivery is required.
