Federal Aviation Administration AIT/AIF-1

SOW For Offsite Vaulted Tape Storage and Related Services June 2021 thru May 2022

1. This SOW describes the required services for services for offsite tape storage at a central messaging and data center for non-disaster recovery, storage and e-Discovery. The tape storage services will provide tape vaulting services to include cataloging and indexing of approximately 27,000 + LTO2 media backup tapes in a secure, flood proof, earthquake proof, fire proof, and climate controlled environment. The Contractor must perform the specific services as described below.

Tape Storage/Vaulting Requirements:

Vendor must have the ability to store, catalog, and index as many as 27400 media backup tapes. All tapes must be stored in a flood proof, earthquake, and fireproof facility in the Washington DC area (within a 50 mile radius of FAA Headquarters) that is secure and climate controlled.

Electronic verification

The facility must have electronic verification for all individuals with access to the tape storage areas. The vendor shall provide a secure web-based system that provides clear online location of all FAA tapes in their possession. In addition, this system must allow online tape retrieval requests to be submitted by FAA designated representatives. The website must allow all FAA data to be exported to Excel or CSV formats. The website must be mobile friendly.

FAA AIF Requests for exchange or transport

The vendor may be called upon to retrieve a large number of tapes at any time. The vendor must be available for customer service during normal business hours 8AM – 6PM EST. The FAA will “not” require services after business hours (8 AM – 6 PM local time), weekends or holidays Tape media service to return and/or pick-up tape media will be on an as needed basis. Under the as needed basis, if the FAA puts in a request for tape media to be returned within two (2) or three (3) business days as a tape return option. All action/activities must be reflected in the status reporting. Optional Services for the following:

· Same day pick-up and/or delivery service for disaster recovery, to support urgent litigation cases.

· Use of containers only as needed, for transfer of tape media back to the FAA. Once completed, the FAA will return tape media using the same containers

Tape Containers

The Contractor must provide the following requirements when handling and transporting tapes from the FAA facility to the approved tape storage facility:

· Closed container for transport and storage

· Standard Containers

· Manual Container Handling

· Container Storage – Unclassified (<100,000 feet)

· Use of secure transport containers between contractor facility and FAA location

Option for Relocation Services:

The FAA may request the relocation of tapes from the current locations (specified per zip code) to a FAA designated location.

· Upon request, the tapes must be relocated (From site listed below to destination) within 30 days.

· Tapes must be transported in containers, secured, and temperature controlled

· All tracking and reports are necessary for retrieval and delivery.

· The designated facility (destination) will be within a 50 mile radius of FAA HQ Washington DC

· All Iron Mountain containers must be returned to Iron Mountain facility within 30 days of tape relocation.

Reporting and Invoicing:

Monthly invoices with a status report of all activities, identification of FAA requestor, date, and IM reference number, contract financial status (total obligation, monthly incurred cost, cumulative incurred cost, and remaining funds), including the record of authorized FAA representatives. Payment is subject to accurate invoicing and report data. The invoice and report must be submitted no later than 10 days after the previous month end. Submit to the address(es) below:
