About this file

This document is Addendum #1 to RFP 2023-01 issued by Massasoit Community College for the rental of tents, flooring, chairs, and related items for the college's 2023 graduation ceremony. The addendum provides clarification and additional information in response to proposers' questions, including the ability to substitute blue chairs, the earliest installation date, and the intent to award the entire contract to a single vendor. The college prefers a down payment of no more than one-third of the proposed amount and would credit any cancellation down payment towards a future event. The scope of work includes a 10' x 20' frame tent on 10' high legs to be placed on the grass along the walkway between the Field House and the main tent, as well as the provision of flooring. The college will request quotes for the stage, pipe and drape, and ADA-compliant ramps and platforms separately at a later date.

Massasoit Community College RFP 2023-01 Graduation Rental for Tents, Flooring and Related Items

Addendum #1 dated October 11, 2022

Massasoit Community College issues Addendum #1 to provide clarification and additional information in response to proposer’s questions. All responses are in bold. Upon the release of this Addendum, the question and answer period will be over.

1. Please provide copies of the paid invoices for the complete 2022 Massasoit Commencement including all items from this bid, any additional items that were rented, and any credits received from the vendor?

Not applicable.

2. Is Massasoit able to provide a 50% non-refundable down payment to reserve this equipment?

Massasoit Community College understands that a down payment may be necessary to reserve the requested equipment. The College would prefer that the down payment be no more than one-third of the proposed amount.

3. Assuming Massasoit is not able to pay a 50% non-refundable down payment, and the event is cancelled for any reason (including COVID related) after the contract is signed, are we able to bill the 50% fee for holding the equipment and turning away other jobs?

If the event is cancelled, Massasoit Community College would prefer that the down payment be credited towards a future event.

4. Is the tent still going to be on 10’ high legs?

Yes.

5. Where does the 10’ x 20’ frame tent get placed?

On the grass along the walkway between the Field House and the main tent.

6. What is the earliest date we can begin installing the tent and flooring?

As long as there is no additional charge to the college, installation for the tent and flooring can begin on Wednesday, May 17, 2022.

7. Is the College sending out a separate proposal for the stage and pipe & drape?

The College will request quotes for the stage, pipe and drape, ADA compliant ramps and platforms at a later date.

8. Can the vendor substitute blue chairs (ones that were used in previous years) in place of the white/gray chairs on the bid?

Yes.

9. Will the College be awarding this bid in its entirety to one company or to separate vendors? (i.e. awarding the tent to one company and the chairs to another).

It is the intent of the College to award the bid in its entirety to one vendor.
