About this file
This is Addendum 1 to a procurement by the City of Madison, Wisconsin Finance Department for Indoor Digital Signage at Monona Terrace. The project involves the replacement of existing digital signage systems with 42 new display units: 7 large 55-inch displays mounted in landscape orientation within existing wall recesses on levels 1, 2, and 4, and 35 small 10.1-inch displays positioned next to room doors on the same levels. The signage system will integrate directly with the City's Momentus event management software via API to display event descriptions, dates, times, functions, and room locations. The City will provide all necessary network infrastructure including PoE-enabled switches, network configuration, VLAN setup, security requirements, and API credentials. Installation must be completed during a compressed timeline of July 1-3 and 6-8, 2026, scheduled to minimize disruption to venue operations. All 42 locations represent replacements of existing Visix software with Seneca and Teguar players and will remain at their current positions with no new locations added. Bidders were required to acknowledge receipt of this addendum on RFP Form B and the Receipt Forms and Submittal Checklist.
The scope requires vendors to provide both hardware and complete installation services, including removal of legacy equipment with City assistance and disposal handled by the City. Shipping and ancillary costs must be listed as separate fixed-fee line items rather than incorporated into unit pricing. All installation locations feature existing electrical service or PoE capability and active network drops, making this a plug-and-play hardware replacement requiring no new cabling installation. The City will provide detailed site drawings and a secure staging area during the installation phase. Support requirements include phone and email support during standard business hours (8am-5pm, Monday-Friday) and on-site support if necessary, with a depot service model acceptable for hardware repairs. The awarded vendor must secure digital signage software with API integration capability to parse JSON payloads from Momentus, provide initial user onboarding, and maintain accessibility compliance including submission of a Voluntary Product Accessibility Template (VPAT) subject to review by the City Attorney. The contract term was not specified in this addendum.
