About this file

This document is Addendum 1 for a Request for Proposal (RFP) issued by the City of Madison Finance Department for Golf Madison Park Logos. The project involves creating 2 logo designs and 2 style guide design concepts for three golf courses: Golf Madison Parks, Yahara Hills, and Monona, with a final completion date of 11/21/2025. Bidders are not required to submit speculative logo designs but must include portfolio samples demonstrating technical and creative execution. The initial logo concepts are due 15 working days after contract award, with up to 5 revisions allowed. The project will result in a standalone brand identity, and a logo icon will also be included.

The City of Madison is seeking flexibility in the design process and delivery timeline. Portfolio submissions should be 10-15 pages, preferably in 8.5x11 portrait format. The logo designs should complement existing course logos, including the Glen logos, and avoid any resemblance to a landfill (specifically for the Yahara Hills logo). The City of Madison staff will be involved in the review, design direction, and final approval of creative materials. No additional verbiage is required beyond "Golf Madison Parks," and the City has chosen not to disclose the budget for this procurement.

Golf Madison Park Logos

Notice to All Bidders:

Please note the following responses to the questions received:

Bidders must acknowledge receipt of this addendum accordingly on RFP Form B, Receipt Forms and Submittal Checklist.

Question 1

Can you confirm if the 15-working day timeline is a firm requirement, or if there is flexibility to allow for a more iterative process?

Answer 1

The City is fine with allowing for more flexibility.

Question 2

Could you clarify what is expected for logos in the RFP? Are bidders required to submit speculative logo designs as part of the RFP?

Answer 2

Bidders are not required to submit speculative logo designs as part of the RFP. They are required to include portfolio samples that demonstrate technical and creative execution for similar projects.

Question 3

Is the expectation to review two logo concepts only for the Golf Madison Parks logo, or should this review also include two concepts for Yahara Hills and Monona Golf courses logos?

Answer 3

This should include 2 logos and 2 style guide design concepts for Yahara Hills, Monona and Golf Madison Parks.

Question 4

Is there a final completion date for the project?

8/20/2025-Addendum 1.doc

The final completion date will be 11/21/2025.

Question 5

Is there a requirement for the submitted document? Does it need to be 8.5x11 or 11x17, landscape or portrait?

Answer 5

There is no requirement, but the preference would be 8.5x11, portrait.

Question 6

Is there a page limit on the submitted document or the number of portfolio pages?

Answer 6

Yes, no more than 10-15 pages for the portfolio.

Question 7

Please confirm if there is one revision per logo or 5 revisions per page?

Answer 7

It will be 5 revisions of the concept.

Question 8

Is it one graphic standard per location, or an overall graphic standard for all logos?

Answer 8

Overall graphic standard for all logos.

Question 9

Who will be involved in the review, design direction, and ultimate approval of creative?

Answer 9

The City of Madison Staff.

Question 10

Does the city want (2) design concepts for the style guide itself (document), or is it asking for (2) example graphic usage concepts that show the logos in use?

Answer 10

The City would like 2 example graphic usage concepts that show the logos in use.

Question 11

Is there any flexibility with this delivery timeline?

Answer 11

The City is fine with allowing for more flexibility on the delivery timeline.

Question 12

Is the expectation to review two logo concepts only for the Golf Madison Parks logo, or should this review also include two concepts for Yahara Hills and Monona Golf courses logos?

Answer 12

This should include 2 logos and 2 style guide design concepts for Yahara Hills, Monona and Golf Madison Parks.

Question 13

If the timeframe is 15 working days (three weeks) to deliver 2 logos and 2 style guides and up to 5 revisions, can we assume the initial concepts would need to be presented 5 working days after contract award to allow for up to 5 revisions and Style Guide production? Or would the steering committee and/or City entertain a revised timeline for final delivery of 2 logos and 2 Style Guides design concepts?

Answer 13

The initial concepts are due 15 working days after contract award. The revisions would come after 15 working days and review by selection committee.

Question 14

The previously utilized Golf Madison Parks logo was part of a bigger suite including the city pools and parks (Play Madison Parks, Swim Madison Parks) – will it be more of a standalone brand identity moving forward?

Answer 14

Yes, it will be more of a stand-alone brand identity. Madison Parks has moved away from Play Madison Parks, Swim Madison Parks, etc.

Question 15

Is there any other verbiage required in the logo (i.e., “A Division of Madison City Parks”), and will there be a need for other versions of the primary logo to include/exclude that?

Answer 15

No other verbiage is needed other than Golf Madison Parks.

Question 16

Will this new logo be subject to fitting within any existing structure/scheme inclusive of fonts, colors, etc.?

Answer 16

We want the Golf Madison Parks logo to compliment all other course logos including the existing Glen logos and proposed Yahara Hills and Monona logos.

Question 17

The Glen’s identity system has a primary logo, a secondary logo and a logo icon – the RFP does not list the logo icon as part of the scope, should we plan to include that in the project?

Answer 17

Yes, thank you for addressing this. Logo icon should be included.

Question 18

Do you have concerns or are there any anticipated pitfalls you want to avoid with stakeholder and community receptiveness to the designs?

Answer 18

The only thing would be having an awareness that half of Yahara Hills was sold to Dane County for a landfill and some people will always have strong feelings against that. The Yahara logo shouldn’t have any resemblance of a dump or landfill.

Question 19

What is the preferred format for first round logo design concepts? This can be done in a range of formats from rough sketches to more “polished” designs.

Answer 19

If the logos can be shared digitally and clearly show the concept, they can be in different formats.

Question 20

Has a budget been established for this procurement?

Answer 20

The City is choosing not to share budget information for this procurement.
