About this file
This document is Solicitation Addendum No. 1 issued by the Minnesota Office of State Procurement for the 2025 MN BCA ICAC & Human Trafficking Conference. The addendum responds to three specific questions from a potential conference venue regarding event logistics. The questions address space configuration options, including using the general session space as a breakout room by splitting the ballroom with a temporary wall, setting up two breakout sessions in a theater-style arrangement, and accommodating lodging in multi-bedroom cabins. The state provides affirmative responses with some nuanced conditions, particularly for lodging arrangements.
Specifically, the state indicated that while multi-bedroom cabins with private bedrooms and bathrooms are acceptable for approximately 300 attendees, the 50 BCA Staff and Speakers require single, private lodge rooms with no shared living spaces. The addendum maintains that all other terms and conditions of the original solicitation remain in full force and effect, and respondents can acknowledge receipt by responding to SWIFT Event No. 200016964, Version 2 or later by the May 16, 2025, 2:00 PM submission deadline. The document serves to clarify venue and accommodation expectations for the upcoming conference, providing additional guidance to potential bidders.

SCOPE OF ADDENDUM
The purpose of this addendum is to respond to questions received by the deadline stated in the Solicitation
Responders may acknowledge receipt of this addendum by responding to SWIFT Event No. 200016964, Version 2 (or more recent version) by the solicitation due date and time.

II. Below are the State’s responses to questions received by the deadline stated in the solicitation.
Q1. The event specifications note the general session space can be used for a breakout. Our ballroom can be split in half by a temporary wall so that two breakout sessions could be held in the ballroom. Is the group amenable to that?
A1. Yes.
Q2. For the other two breakout sessions of 75-100 people, would the State be open to those two breakouts being set up theater style?
A2. Yes.
Q3. Our lodging would utilize a number of multi-bedroom cabins. In the multi-bedroom cabins each attendee, based on single occupancy, would get their own private bedroom and bathroom with the living space being shared. Each bedroom can be locked from the inside when the guest is in the bedroom. Would the group be open to this lodging style?
A3. There are attendees that would reserve cabins, therefore that is acceptable for a portion of the attendees (approximately 300). However, 50 attendees (BCA Staff and Speakers) will require single, private lodge rooms and cabins that include shared living space is not acceptable for those individuals.
