About this file
This is Addendum 1 to a Request for Proposals issued by Fayette County Public Schools Purchasing Department for Surplus Textbook Reclamation Services (RFP 22-040-074), issued June 9, 2022. The addendum addresses clarifications regarding the scope of work for removing surplus textbooks from 27 school sites and one educational center across the Fayette County district located in Georgia. The primary service requirement is the removal of all surplus textbooks currently collected at each school site by July 27, 2022, to prepare facilities for meet-the-teacher events at the beginning of the school year. Each school averages approximately two Gaylord boxes of textbooks, though some sites may have additional volumes. The textbooks range in condition from never-used to heavily worn editions and include various subject matters and copyright years. No ongoing pickup services are required after the July 27, 2022 deadline, as schools typically only collect surplus materials during the final months of the school year.
Vendors are permitted to stage materials at a centrally located warehouse or trailer if they provide their own space and appropriate insurance documentation, as the district warehouse has no available storage capacity. The vendor must be responsible for all collection activities without relying on school system personnel. The specific composition of textbooks being discarded, including detailed booklists with ISBNs and quantities, is not available from the district. The addendum includes a complete delivery address list for all 27 school sites and the educational center requiring textbook removal services. The contract term and pricing structure are not detailed in this addendum.

Fayette County Public Schools Purchasing Department Surplus Textbook Reclamation Services
Request for Proposals 22-040-074 Addendum 1 - Issued June 9, 2022
1. Based on the wording in line 1, can you confirm if each school site will need removal, or is it just one
(1) central location (district warehouse perhaps)?
a. Each school site will require removal.
2. Is there a central district location (warehouse) in use and will there be a need to remove material from there before the date below?
a. No
3. Is it possible for the vendor to stage material at the warehouse which was collected from other schools in order to consolidate material for shipping to a recycler?
a. Only if the vendor can provide space to do so such as a trailer or other removable source.
There is currently no room available at the Warehouse location.
4. We cannot find an ‘Appendix A’ referenced above, can you provide a list of schools that would need material removed by the date listed in section 2 below?
a. Please see attached.
5. Can you clarify the time-frame expectations? Does Fayette expect all of the material they currently have (to date) at the schools removed by 7/27/22? And then require random pick-ups throughout the year.
a. Yes, all materials currently being collected will need reclamation before July 27, 2022, in order for schools to be ready for meet-the-teacher events.
6. Will there be pick-ups required at school sites throughout the rest of the year after 7/27/22?
a. No, schools typically dispose of surplus textbooks during the final months of school only.
Should the need arise, the District may engage with the selected provider to conduct another reclamation as needed.
7. Would you allow a trailer(s) to be dropped at a district (school/warehouse) location in order to use that as a central location to consolidate removed material from school sites (only would be dropped for the duration of the project(s))?
a. Yes, this is negotiable as long as the vendor provides correct insurance documentation and is not relying on school system personnel for collection.
8. Do you have any information regarding the estimated volume that needs to be removed throughout the district and/or at each school site (either by the 7/27/22 deadline or for the rest of the potential 1-year contract term)? Any information would be helpful (ex. Each school has roughly 5 boxes vs. each has 5 pallets is a big difference in planning these removal projects).
a. Each school has an average of two (2) Gaylord boxes being used for collection. Some sites potentially have more.
9. Do you have any information about the type of material being discarded this year? Ideally, a booklist with quantities and ISBNs would be phenomenal, but any information would be appreciated such as subject matter, series titles, copyright years, etc.
a. No, not specifically. Schools are directed to only deposit textbooks into the bins and those may range from never used, like-new conditions to old editions that are very worn.
