Addendum 1 RP035-22, On-Demand Printing Services on an Annual Contract
Clarifications:
• Only two (2) duplicate sets of work samples will need to be provided. Six sets are no longer required. Please clearly mark each sample with your company name.
• Please disregard the verbiage on page 1, “The fee schedule is to be submitted in a separate sealed envelope and should not be included in the copies mentioned above.”. No Fee schedule needs to be provided.
Questions:
Q1. I understand each order will be a request for quote at the time of need. When those requests come in, is there any flexibility on the turn time for quoting? Depending on the scope of the projects, we may have quotes back same day/next day, though some can take longer.
A1. Due to the nature of the print requests, a 24-hour turnaround is required for all quotes requested.
Q2. With regard to references, we can provide, though samples of their work are confidential so we would likely not be able to share those samples. Will that be OK?
A2. The work samples requested to do not have to be come from the Companies listed as your references.
Q3. Our Company has a superb online capability for Digital print ordering for delivery or print to store for pick up. Desk top delivery for every order would not be guaranteed as it does depend on the scope of the project.
A3. We don’t require every job to be printed on site, however you will be held to quality standards and turnaround deadlines regardless of whether you yourself are printing the job or you are outsourcing to another company. As a reminder, any vendor that applies must have some degree of capabilities within your own company. No brokers may submit a bid. See section VIII point C.
As for job pick up, please note that all print requests will be required to be delivered to the location requested. Please see Appendix B for the list of possible delivery addresses.
Q4. I represent two companies that order on demand printing, one for apparel and another for graphic design prints. I wanted to clarify which is needed so that I am submitting correct information.
A4. Per the attached invitation, we are requesting the following work samples be submitted with your proposal. Print requests may not be limited to the list below but should assist in outlining the types of printing projects that will be included under this contract.
A. Work samples Submit one (1) folder containing the two best samples of printing projects completed for the companies listed on your reference sheet, including but not limited to:
• Full color stationery letterhead
• Color glossy brochure with photo
RP035-22 Addendum 1 Page 2
• Black and white brochure with photo
• Flyer
• Envelope
• Program
• Any other items that show the quality of your work
Q5. What if the product requested is not available? Or will take more time to get due to supply issues?
A5. Communications will do their best to work with alternate products and longer turnaround times but ultimately it will be up to the requesting user department(s) to approve adjusted products and turnaround times.
Q6. Can Gwinnett County provide a list of products they order frequently so vendors can keep them on hand?
A6. Communications can provide a list of “normal” products to the awarded vendor(s), but this contract is considered on-demand, so there is no guarantee that they will all be needed. Products ordered by the vendor ahead of receiving a Purchase Order will be at vendor’s expense.
Q7. Can vendors submit Gwinnett County samples with their proposal?
A7. Yes.
Q8. Can we submit more than 3 references?
A8. Vendors will be scored on three references. Please provide the requested number.
Q9. Are bonds required?
A9. No.
Q10. Do we have to submit a COI with our proposal?
Q10. No, this should be submitted upon request. Please review the requirements ahead of time so you are prepared to provide a COI.
Q11. We want to compete in the proposal, and I am writing in reference to the company's background.
We have a Company in another Country (Venezuela). Barely 1 year ago, we have started activity in Georgia, The US. We have Similar Projects, since 1999, with that Company in Venezuela. We would like to know, if these contracts are valid for References. We are same owners and staff.
A11. The references provided can be from another Country if the work was done under the same name as the current proposer. Samples provided and equipment listed should be from current business located in the U.S.
Acknowledge receipt of this addendum on the Firm Information page of the RFP document.
Sincerely, Lindsey Gravitt Purchasing Associate II
