About this file

This Scope of Work (SOW) details a contract for installing a rail-mounted storage system at the National Fish and Aquatic Conservation Archives (NFACA), a 10,000 square foot facility housing 1.9 million archival records and 14,000 objects. The project requires installing three tracked rolling units capable of accommodating five rows of double-stacked Geological Storage Cabinets (single and double door models) from the Steel Fixture Manufacturing Company, with specific dimensional requirements of 29" or 57" width, 37" height, and 31 3/4" depth.

The contract includes comprehensive installation services: freight, rail/track installation on existing concrete floor, mounting existing USFWS cabinets onto the new system, debris removal, and ensuring full system functionality. Additional work involves grouting six 24' long recessed rail tracks to eliminate tripping hazards. A site visit is mandatory, and the final project deliverables include a fully operational storage system and an instructional tutorial for staff on operation and maintenance. The project aligns with Department of Interior standards for preserving federal fisheries program archives.

Scope of Work (SOW)

The mission of the National Fish and Aquatic Conservation Archives (NFACA) is to assemble, preserve, protect, interpret and make accessible to researchers the history and technology of the federal fisheries program.

The bulk of the collection focuses on the history of fish culture, fisheries management, the U.S. Fish

Commission, U.S. Bureau of Fisheries, National Fish Hatchery System and the overall history of the FWS.

The 10,000 square foot Arden Trandahl Collection Management Facility (CMF) serves as a DOI standards compliant archival center and holds over 1.9 million archival records and 14,000 objects. The collection is continually growing as it serves the entire fisheries program for the FWS. Per Department of Interior (DOI) standards, collections must be stored to meet Federal legal requirements, DOI policies and standards, and U.S.

Fish and Wildlife Service (FWS) management objectives.

In order to maximize storage space in the basement of the CMF, installation of a rail mounted system to accommodate existing and future archival compliant artifact storage cabinets is desired.

The tracked rolling units need to be able to fit/hold existing and future storage cabinets (provided by USFWS), double stacked (two high), produced by the Steel Fixture Manufacturing Company of Topeka, Kansas. The cabinet model type is Geological Storage Cabinets and include a mixture of single and double door cabinets.

Single door cabinet measure: 29" width x 37" height x 31 3/4" depth. Double door cabinets measure: 57" width x 37" height x 31 3/4" depth.

The tracked units shall accommodate five 29’11” long rows of double stacked (two high) Geological Storage

Cabinets resulting in two rolling units that have two double stacked rows of cabinets back-to-back, and a single row of double stacked cabinets on a third rolling unit. The resulting three units (five rows of cabinets) shall compress when rolled closed towards an existing row of stationary floor mounted cabinets that rest against a wall. Existing cabinets (provided by USFWS) will need to be set upon and properly fit and secured to the newly installed rail/track system.

When opened, an aisle is created, and an individual can access cabinet doors on both sides of the aisle. There will be three possible aisles. The first one between a double unit and the stationary wall cabinets, the second between the two double units, and the third between the double unit and the single unit. When closed and locked, no cabinet doors are accessible (the backs of the cabinets on the single unit faces outside the locked storage system). Opening and closing of units will be via manually operated handle or wheel.

Additionally, the CMF basement has existing tracked rolling shelves unit that house an archival document collection. These were installed as part of the original construction of the building with the tracks laid recessed into the concrete floor. The recessed rails never had any grout laid adjacent to the metal tracks creating a tripping hazard. Grout needs to be used to fill the area adjacent six 24’ long rails with approximately 6” of opening 2” deep. When providing your bid, please list this as a separate line item from the aforementioned storage system.

A site visit is required. Bids shall include freight, installation of rails/tracks to be set upon existing concrete floor, installation of existing cabinets onto the newly installed rail/track system, and removal of debris. The system should be fully functional at completion of the project. Staff shall be provided an instructional tutorial on operation and routine maintenance during final walk-through.
