About this file

This is Addendum 2 to Request for Bid 8960-0-2020-AH issued by the City of Madison Finance Department Purchasing Services for virtual reality training equipment, scenario design, and implementation for the City of Madison Police Department. The addendum, dated July 24, 2020, provides detailed submission requirements for bidders responding to the procurement. Bidders must include comprehensive information addressing six primary categories: hardware with itemized pricing for each component; software with specifications regarding deployment method (firmware, on-premise installation, SaaS, or other), hosting arrangements, subscription terms, support and maintenance procedures, and all applicable license agreements and terms; system functionality and integration capabilities with existing City systems such as Power BI; professional services including implementation, installation, and training with proposed timelines, labor hours, and pricing methodology; warranty coverage for both software and hardware with associated costs; and acknowledgment of the City's standard Contract for Purchase of Services template, which takes precedence over vendor-provided agreements.

All bidders must acknowledge receipt of this addendum on RFB Form B, Receipt Forms and Submittal Checklist. The City of Madison reserves the right to negotiate all final contract documents and has indicated that its standard contractual procedures and templates will govern the final agreement, superseding any conflicting terms in vendor contracts or license agreements.
