About this file

This document is the 2025-2026 Official NCPA Vendor Bid Special Conditions for Orange County Schools, detailing specific requirements for a school nutrition vendor contract. The bid covers multiple lots, including commodity storage/delivery (Lot 1) and the Fresh Fruit and Vegetable Program (FFVP) (Lot 4), with a contract period spanning 2025-2026. The document outlines comprehensive delivery and invoicing requirements, including weekly deliveries to various school sites, specific delivery time windows from 6:00am to 2:30pm Monday-Friday, and designated delivery instructions for schools with unique access constraints.

The bid requires vendors to have capabilities for electronic ordering, handle product substitutions with 24-hour email notifications, manage USDA commodity storage and delivery, and potentially support Farm to School programs. Vendors must submit pricing for commodity delivery and storage, track Net-Off invoice recordkeeping, and maintain an up-to-date commodity inventory. The contract includes specific requirements for picking up existing commodity inventory from the previous vendor, with cases to be transferred within ten working days of the first school day. Orange County Schools reserves the right to purchase items on the open market if needed, and the bid anticipates five schools participating in the Fresh Fruit and Vegetable Program (FFVP).
