About this file

This document is a Questions and Answers (Q&A) document for an Invitation to Bid (ITB) issued by the City of Alpharetta, Georgia, with ITB Number 26-003 for Pine Shavings. The ITB was posted on July 22, 2025, and seeks to procure 20,000 to 25,000 bales of pine shavings with an estimated 14 to 16 shipments throughout the year. The show season runs from the first or second weekend of January through the week before Christmas, with no fixed ordering schedule due to fluctuating demand based on horse show participation.

The procurement process requires all bidders to communicate exclusively through the Bonfire project webpage, with Abby Shipp serving as the designated Procurement Agent. Bidders are responsible for monitoring the webpage for updates, addenda, and the final award notice, with direct communication with other City staff prohibited and potentially resulting in disqualification. The document emphasizes that this Q&A is for clarification purposes only and does not constitute an addendum to the original ITB.

BEGIN Q&A

Q1 Can you please confirm whether the projected annual usage of 20,000 to 25,000 bales and the estimated 14 to 16 shipments are evenly distributed throughout the fiscal year, or if there are seasonal fluctuations or peak periods we should plan for? Additionally, are the 14 to 16 deliveries made according to a planned schedule, and if so, can that schedule be provided or described?

A1 There is no fixed schedule for ordering pine shavings, as our needs fluctuate based on the number of participants in each horse show. Demand can vary throughout the year. Typically, our show season begins on the first or second weekend of January and concludes the week before Christmas.
