This document is a comprehensive Questions and Answers (Q&A) file for a federal solicitation for Event Logistical and Management Support Services issued by the Indian Health Service (IHS). The solicitation seeks a contractor to coordinate logistical activities for two in-person meetings and six virtual meetings during each twelve-month performance period, with potential for additional meetings. Key requirements include providing conference registration, on-site coordination, meeting execution services, and post-conference support. The meetings will involve a federal-tribal workgroup comprised of tribal leaders, subject matter experts, program staff, and technical advisors, with approximately 50 in-person attendees and 25 sleeping rooms required.
The Q&A document covers extensive details about the contract, including meeting logistics, technology requirements, and contractor responsibilities. Significant specifications include using a conferencing camera (potentially a Meeting Owl 360), Zoom or similar virtual meeting platforms, printed and digital materials, and PowerPoint presentations. The meetings are expected to be scheduled for fall 2025 and spring 2026 in hub cities located in the central or western United States, with a firm-fixed price and cost-reimbursable contract structure.
