About this file

This document is a list of questions and answers related to a U.S. Coast Guard lodging accommodation reservation solicitation for District 13 Reservists. The Q&A addresses specific details about room requirements, including 20 rooms per month for the Puget Sound region totaling 60 nights, with room cancellation possible up to 3 business days prior to check-in. The Coast Guard allows guests to voluntarily provide their own credit card for incidentals and will provide a list of recommended hotel vendors. For locations without 3-diamond AAA-rated hotels, 2-star diamond-approved hotels are acceptable alternatives. The document explains room allocation logistics, noting that reservists typically drill one weekend per month, with room needs calculated based on personnel count and overnight stays (e.g., Bellingham requires 3 rooms per month covering approximately 10 total nights for 5 reservists).

1. Is this a brand-new contract?

a. Yes

2. How many rooms are needed per night for USCG Base Seattle / Station Seattle / Sector Puget Sound, Pier 36, 1519 Alaskan Way Seattle, WA 98134

a. USCG Base Seattle / Station Seattle / Sector Puget Sound (item i) should also include USCG Thirteenth District (Item ii - D13). We would need 20 rooms per month totaling sixty (60) nights for this region.

3. When can rooms be released?

a. Contractor will afford the USCG a minimum window for cancellation of three (03) business days prior to actual check-in date.

4. Would it be possible for each guest to provide their own credit card at check-in to cover any potential incidentals?

a. Guests could voluntarily provide their own credit card for incidentals if they choose.

5. On sections C.5.1 vi: it appears some information might be missing. Could you please provide the complete text for this section?

a. D13 POC would simply need to be notified. SOW will be updated to reflect.

6. Approximately how many rooms per night will you need for each unit?

a. Please refer to the SOW. For example, Bellingham Washington’s monthly requirement would be 3 rooms per month totaling about 10 nights. The ten total nights accounts for the number of personnel that could stay on a given weekend (5 or so in the three rooms) and the total nights they may say (2x5 = 10). Our reservists usually only drill one weekend a month. They would need to use those rooms usually one Friday evening through Sunday (2 nights) morning over that one drill weekend. When we say nights, we’re accounting for the total nights that all reservists at that unit would need covered (5 reservists would need ten nights total because they’d each need a bed for two nights).

7. Additionally, for certain units, I've noticed that there aren't any 3-diamond AAA-rated hotels in the vicinity. For these specific locations, would a 2-star or diamond-approved hotel be an acceptable alternative?

a. A 2-star diamond approved hotel would be an acceptable alternative, but the Coast Guard will provide a list of recommended vendors to the contractor. The contractor should also reach out to the Tech Rep with questions.
