Conference Meeting Support Services
Questions & Responses v4
Question 1) Does MARAD anticipate read ahead material being emailed and not in 3 ring binders as implied on page 8 bullet 8?
Response: The Read ahead material will be forwarded in electronic files for committee members to have advance copies of the meeting material. In case members, didn’t have an opportunity to review the electronic copies or there were changes to the meeting material, mandatory hard copies or 3 ring binders will be issued at every meeting.
Question 2) Experience has shown that when meetings are held at government facilities (i.e.
services such as room set up, audio visual equipment, set up and runoff webinars has been provided by “host” government department. If this is correct, please advise the contractors roll, since the contractor does not have the apparent authority to request such services within a government department facility. Please clarify/advise?
Response: Since Primary Location 1 (DOT/HQ) and Alternate Location 1 (FWHA) are
Government facilities, the MARAD Staff and media center is responsible for set-up of the A/V equipment. The contractor would be responsible for manual operations of the equipment. If the meetings are held at Alternate Location 2 or the place of performance changes, the contractor would be required to work with the DFO/MARAD Staff.
Question 3) Your attention is called to page 7 of the SOW V2, discussion Task Area 2, fourth
(4th) bullet: please define the term “fees” and how if any are to be collected/assessed they would be collected and what they would cover?
Response: Since there was an oversight of revising the SOW, Task Area 2 bullet 4 should have been omitted, the collection/assessment of fees will not be collected by the contractor for this requirement.
Question 4) Is there a certain number of staff required to perform the conference support services?
Response: There is not a minimum of staff required for the conference support services.
