The City maintains approximately 94 overhead doors and 55 automated gate operators across multiple municipal facilities, including public safety facilities, public works operations, utility yards, transit locations, and other structures. Services encompass corrective maintenance, preventive maintenance, repairs, replacements, and installations of commercial and industrial door systems and gate operators. Required services include lubrication and calibration, repair and replacement of components such as rollers, tracks, hinges, cables, springs, sensors, and motors, automated gate operator diagnostics and safety testing, emergency and routine service calls with response windows of four hours for emergencies and 24 hours for routine requests, system condition and safety compliance evaluations, and documentation and reporting of all maintenance activities. The public opening is scheduled for November 3, 2025, at 11:10 AM MST via Microsoft Teams. The initial contract term is 12 months with firm, fixed pricing, renewable for four additional one-year terms at the City's discretion. The contract may be extended for up to six months if renewal negotiations are unsuccessful.

All service calls are billed at a flat rate, with only one service call fee charged per site visit regardless of the number of doors or gate systems serviced. Bidders must submit pricing in Rate and Project Scenario Bid Tables, with labor rates matching exactly between tables or the bid will be deemed non-responsive. Before contract award, the Bidder must possess a City of Yuma business license and provide evidence of current certifications, licenses, and technician training for commercial door and gate systems. The Contractor must demonstrate a minimum of three years of active engagement in commercial overhead door and automated gate system maintenance, repair, and installation within the last five years and maintain comprehensive insurance coverage including Commercial General Liability of $2,000,000 general aggregate and Business Automobile Liability of $1,000,000 combined single limit. The Contractor shall provide a one-year warranty on all work performed, maintain a local field representative available throughout the contract period, and ensure all employees undergo background checks and wear company-identified uniforms. The City reserves the right to award the contract to multiple vendors and to audit or inspect all work, equipment, materials, and Contractor performance at any time.
