About this file

This document is a Frequently Asked Questions guide prepared by Halifax Health, a Florida-based healthcare organization, to assist vendors in navigating the Bonfire procurement platform for submitting bids on solicitations. The guide addresses vendor registration, account management, and submission procedures specific to Halifax Health's procurement portal located at https://halifaxhealth.bonfirehub.com/portal/?tab=openOpportunities. Key procedural points include guidance that vendors should create accounts through the "Log In/Register" feature, with best practices recommending that firms designate a single authorized individual to manage bid submissions to avoid duplication and conflicts. The document clarifies that multiple individuals from the same firm cannot simultaneously work on a single submission within Bonfire, and that individual registrations are treated as separate accounts without automatic linking to firm-level activity.

The FAQ provides troubleshooting guidance for vendors experiencing registration or email confirmation issues, directing them to check spam folders and contact Bonfire Support through the portal's help function or via support@gobonfire.com. The document specifies that vendors who are notified of bid releases but choose not to participate need take no further action, and that failure to submit by the stated bid due date will be recorded as a "no bid." Additional procedural clarification indicates that instructions for adding new line items are available in the solicitation document headers, and vendors are directed to Bonfire's Vendor Help Desk at https://vendorsupport.gobonfire.com/hc/en-us for comprehensive resource materials and video tutorials on account creation and platform navigation.

Bonfire Frequently Asked Questions

How do I create a Vendor Profile on Bonfire?

You can click on the “Log In/Register” icon in the upper right corner of the Bonfire screen https://halifaxhealth.bonfirehub.com/portal/?tab=openOpportunities and follow the prompts. You may also watch this quick video on creating an account https://vendorsupport.gobonfire.com/hc/en-us/articles/7322917689367-Creating-a-Bonfire- Account-VIDEO.

If a firm has multiple people in the firm registered in Bonfire, can they all work on the same submittal?

Multiple accounts cannot work on the same vendor submission at the same time. For example: If John at firm A starts the submission, John will need to be the one who finalizes/submits the submission. A Best Practice is to have the team work on the submittal documents outside of Bonfire and select one person to go into Bonfire, submit the Intent to Bid, and proceed with uploading documents and completing the submittal.

Will individual registrations from the same firm be linked to that firm? Will all submittals by the firm be seen in all of the individuals' accounts?

No. Bonfire treats each individual account as an individual and does not link them. A best practice will be to determine internally which individual is responsible for each solicitation to prevent the duplication of submittals.

I am having difficulty registering as a vendor on Bonfire or have not received an email account confirmation from Bonfire. Who do I contact?

First, look through your trash, junk, etc. email accounts (sometimes a vendor's network will treat outside emails as junk). Second, reach out for assistance from Bonfire Support by clicking on the “Log In/Register” icon in the upper right corner of the Bonfire screen https://halifaxhealth.bonfirehub.com/portal/?tab=openOpportunities. You may also submit a question to Bonfire by clicking on the "Help" button at the lower left corner of the screen.

Miscellaneous Information:

If you have been notified of a bid release, and do not wish to bid, there is nothing further you need to do. If the Bid Due Date/Time has passed and no bid submittal is received this would be deemed a 'no bid'.

Instructions for adding additional new lines are in the instructions paragraph at the top of the sheet.

If I have other questions, who can I email?

You can email questions to support@gobonfire.com more clarity. Or please visit Bonfire’s Vendor Help Desk at https://vendorsupport.gobonfire.com/hc/en-us for additional information.
