About this file

This is a Scope of Work document from the Administrative Office of the Courts (AOC), specifically the Mediation and Conflict Resolution Office (MACRO), seeking proposals for a facility to host the 2026 Maryland Mediators Convention. The one-day conference will be held on Wednesday, June 24, 2026, from 7:30 AM to 5:30 PM EDT, and requires a venue located in northern Prince George's County, northern Anne Arundel County, or southern Howard County. The facility must accommodate up to 300 attendees, providing a large plenary space, multiple breakout rooms, a registration area, and an exhibitor space, with specific requirements for audiovisual equipment, room configurations, and accessibility.

The document outlines detailed catering requirements, including breakfast, coffee stations, lunch, and an afternoon snack break, with provisions for various dietary needs such as Kosher, vegan, vegetarian, and gluten-free options. Meal rates are capped at the current Standard Meal Allowances. The facility must offer free onsite parking, including at least five (but preferably fifteen) handicapped accessible spaces. Additional requirements include on-site A/V technical support, a dedicated event coordinator, and the ability to conform to current COVID protocols. Shortlisted offerors will be invited for an on-site walkthrough to provide further clarification on their proposals, and the AOC prefers discounted guest room rates if the venue includes accommodations.
