ELECTRONIC DATA INTERCHANGE (EDI) AND VENDOR PORTAL (VP)
FOR GENERAL SUPPLIES AND SERVICES (GSS)
GSA Northeast and Caribbean Region
Attn: GSA Vendor
Subject: ELECTRONIC DATA INTERCHANGE (EDI) AND VENDOR PORTAL (VP)
FOR GENERAL SUPPLIES AND SERVICES (GSS)
In August 2016 GSA Global Supply launched the new Order Management Services (OMS) which begun modernization of direct delivery order issuing processes. GSS is further modernizing our business transaction processing to standardize ordering issuance, vendor receipt, processing, tracking, visibility and billing of orders. This requires the adoption of consistent and standardized transaction processing methodologies to provide full shipment visibility, customer feedback and shipment status. As a result, Facsimile is no longer an acceptable method of receiving new Purchase Orders.
Accordingly, please be advised OMS will utilize two transaction processing methodologies; Electronic Data Interchange (EDI) and Vendor Portal (VP). Prior to fulfilling orders, vendors will need to have access to either Vendor Portal or EDI. To facilitate the transition to EDI or Vendor Portal, the government will allow vendors to choose either Vendor Portal or EDI for conducting business transactions with GSA.
Vendors are encouraged to conduct business with GSS via EDI transactions; however, for relatively small order volume vendors (under 50 orders per month), Vendor Portal may be a less costly and a more effective solution.
Onboarding to EDI can be accomplished within 30 days for some vendors, and up to 90 days with others, and onboarding and training for Vendor Portal can be completed in a few hours. If orders must be issued before EDI is implemented, the Vendor Portal option is available to the vendor which involves manual entries by the vendor. To access the Vendor Portal, one must obtain an account from GSA Global Supply, including a username and password.
Onboarding and assistance with technical issues is provided by the GSS Business Operations Division and can be found at GSA website for VP/EDI. Included in the aforementioned site is information regarding Business Transaction Processing and contact information.
