About this file

This is a Request for Quotation (RFQ) issued by the City of Madison, Wisconsin, Purchasing Services on behalf of the Fleet Department for tire services for off-road vehicles. The RFQ was released on September 26, 2018, with a due date of October 10, 2019, at 2:00 PM CST. The City anticipates servicing approximately 1 to 10 vehicles per month and seeks vendors located within a twenty-mile radius of Madison. Requested services include mounting/dismounting, wheel balancing, tire disposal, towing, and on-site emergency repairs. The City intends to establish pricing for a three-year contract term covering 2019 through 2021.

Bidders must submit pricing for each service on a per-hour or per-tire basis for each year of the contract period. The City utilizes State of Wisconsin contracted prices for tire purchases and requests information on discounts available for non-contract tires. All quoted prices must include delivery charges, FOB Madison. The City has adopted a local vendor preference policy, and only suppliers registered as local vendors as of the bid due date will receive a scoring preference. Awards will be made to the responsive and responsible bidder whose bid is most advantageous to the City, considering factors such as cost, quality, workmanship, warranty, delivery, past performance, and service capability. Quotations may be submitted via email, mail, or fax to the Purchasing Services office.

5 SPECIFICATIONS

The City of Madison is interested in obtaining pricing for tire services. There would be approximately 1 to 10 vehicles serviced per month, depending on need. Vendors should be within a twenty mile radius of the City of Madison.

The range of services would be mounting/dismounting, wheel balancing, tire disposal, and towing. If the vehicle can’t be driven, the City of Madison pays for the tow. If it can be driven, we ask that the selected vendor pick up and return the vehicle to 200 N. First Street, Madison, WI.

Some vehicles will not be able to be towed, and will need to be fixed “on site”. There is a place for that pricing in Form A.

The City of Madison utilizes the State of Wisconsin contracted prices for tire purchases. However, we would like to know the discount on tires purchased not part of the State contract.

The City of Madison is hoping to establish pricing that can be used for 2019 – 2021.
