About this file

This is a Q&A document for RFQ 455740 for HVAC and Power Rental at Brookhaven National Laboratory (BNL), updated February 5, 2025. The requirement is for rental of three 50-ton AC units, one 75-ton AC unit, and an 80-ton chiller, all to be powered by generators running 24/7. The equipment will be ground-mounted (not trailer-mounted) and initially delivered to one location but deployed to various spots on site as needed.

Key technical specifications include: 25' of power conductors per unit, 50 linear feet of flexible ducting required for each AC unit (supply and return), 50' of supply and return hoses for the chiller, maximum pressure of 60 psi for the chillwater system, and camlok fittings for connections. BNL labor will handle all electrical and mechanical connections. The AC units will utilize return air rather than 100% outside air. The chiller must include a pump package, and larger equipment sizes are acceptable if exact specifications are unavailable, provided generators, conductors, and ductwork are sized appropriately. Generator service will be required every 10 days due to 24/7 operation.

RFQ 455740 HVAC and Power Rental Q&A Updated 2/5/2025

1. What is the anticipated run time of these units per day?

a. Single shift - 8 hours, Double Shift - up to 16 hours or Triple shift - unlimited.

We plan on running the generators 24/7 (triple shift)

2. On the pricing schedule it requests rates for Power Conductors, Temp. Ducting and other one-time costs.

b. Are Power Conductors - Power Cable from the Generator to the A/C or Chiller? If so how many feet per unit are required?

We require sufficient conductors so each AC unit and chiller to be powered by respective generators.

25’ of conductors should be adequate

a. How much Temp. Ducting in feet is required for each A/C or Chiller unit to project.

The AC units will be parked 30 feet from the buildings. 50 linear feet of flexible ducting is required for each AC unit (for supply and return connections). The chiller will also require 50’ of supply and return hoses.

c. Please explain what are other one-time cost?

This box was added so companies can let us know if there are any other one-time costs that do not fall in the categories mentioned that we did not consider. This is up to a company to let us know if they have any other costs associated here that are applicable. A one-time cost is a fee or some other cost that isn’t charged on a monthly basis.

3. Will BNL be hooking up the Cable between the Genset and A/C or Chiller?

Yes. BNL labor will electrically connect the AC units to the generators, and chiller to the generator.

4. Will BNL be hooking up the Temp Ducting between A/C or Chiller and project?

Yes. BNL labor will mechanically connect the AC units to the building ductwork, and hoses to the chiller.

5. Please confirm that all equipment will run 24 hours per day.

Correct. 24 hours/day

6. Please confirm that a 50' run of cable will suffice for each generator.

50' run is adequate.

7. Will return air be utilized on the air conditioners?

Yes. Supply and return. We require ducting for both.

8. Is chiller hose needed, and what is the connection point for the supply and return?

Yes, we require the hose. We will connect by camlok fittings but we can fabricate adaptors to a variety of applications if required.

9. What is the length from the chiller to the connection points?

50'

10. What is the system pressure on the chiller system?

We will utilize a standard chillwater application. We will use a max pressure of 60 psi.

11. The (3) 50 ton AC units and the 75 ton AC unit, do you want to have supply and return air (i.e., recycling indoor air) or do you want 100% outside air? If 100% outside, some measures need to be taken to depressurize the indoor location by removing indoor air in order to maintain pressure balance, prevent structural and operational issues, and ensure the HVAC system functions effectively.

This is typically achieved using exhaust fans or ventilation systems designed to expel indoor air, thereby depressurizing the space to maintain neutral or slightly negative pressure.

We want to utilize return air, and request proposals to include return air flexible ducting.

12. Do the locations where the equipment will be employed all have exhaust fans or ventilation systems?

The proposed locations are ones that have failed AC systems (package units)

13. Are all five pieces of equipment going to be at different spots on site or are they close in proximity? How close in feet?

They will be delivered to one spot, but will deployed as needed to various spots on site

14. If close, specify which units are close together and which are isolated?

N/A

15. Should the (3) 50 ton AC, 75 ton AC, and 80 ton chiller all be on trailers?

We prefer units that will be on the ground

16. If on trailers, can those in close proximity share a trailer?

N/A

17. For the 80 ton chiller, do you need a pump?

Yes, with an included pump package

18. How much hose and cable is needed for each of the units? How long?

25’ (for each phase) should be adequate

19. What diameter size cables, hoses, and type of connectors do you need?

The cables should be sized from the generator and respective equipment in accordance with NEC/NFPA 70.

Please propose a generator and AC unit/chiller with the correct sized cables. The connector type is dependent upon the proposed equipment. Cam lok is the type we have used in the past.

20. Are each of the five pieces of equipment going to run on generator power 24/7 or only for backup power? If they run for 24/7, there will need to be generator services every 10 days which I can price in.

24/7

21. If for some reason the exact size AC units and chiller are not available, are bigger sizes acceptable?

For example, if the 75 ton chiller is not available may we propose an 80 ton chiller?

Bigger sizes are acceptable as long as the generators, conductors and duct work are sized appropriately.
