About this file

This file contains answered questions pertaining to Solicitation Number 36C26326Q0636, a Request for Quotation (RFQ) issued by the Department of Veterans Affairs Veterans Health Administration Veterans Integrated Service Network 23 for hospital grade mattress inspection services at the Saint Cloud VA Healthcare System. The solicitation covers inspection services for approximately 316 mattresses annually across three patient care settings: acute care (6 patients), domiciliary rehabilitation (110 patients), and long-term care (200 patients). Mattress types include Geo Mattress, Comfortrest/Umano, Spann, Hill Rom, and Hovermatts, with potential volume fluctuations of ±5%.

The questions and answers address operational logistics and service scope expectations. The inspection period is not expected to be consecutive and may span multiple days depending on ward schedules and patient conditions; overtime costs would be considered if consecutive days are required. If mattresses are unavailable for inspection due to patient needs, inspections will be rescheduled over the multiple days the contractor is onsite rather than requiring a second trip. Asset tagging and preventive maintenance scheduling documentation are not expected as part of the service; the contractor is only required to replace unserviceable mattresses or covers. VA staff will provide escort services, remove linens, and handle logistics, with the contractor responsible for all labor, transportation, tools, supplies, and equipment necessary to perform comprehensive inspections of mattress covers and internal cores.

Text version

1. Would the 6 days be consecutive, meaning they would extend over a weekend? Not likely. Possibly, but overtime costs for staff would need to be considered. Schedule would be dependent upon the wards time frame and their schedules

1. What would the be expectation if several of the mattresses were not available due to patient conditions? Would a second scheduled trip be expected? Inspections would be conducted over multiple days – if not able to inspect mattress because of patient needs/conflict on any of the number of days that they are here, an exception would be made.

1. Our mattress maintenance services include asset tagging and documenting a PM schedule for the mattresses. Would this be expected? Not expected. If the mattress or cover is unserviceable – it is replaced.
