About this file

This document is an amendment to a solicitation for a Patient Bed Maintenance Service Contract for the Department of Veterans Affairs (VA) Network Contracting Office in Long Beach, California. The contract covers maintenance for 185 total beds, including 176 Med-Surg beds, 5 ICU beds, and 4 Bariatric beds at the Phoenix VA facility. The contract period is from 02/01/2026 to 01/31/2031, and requires full maintenance services including corrective, preventive, and unscheduled repairs. Key details include that the contractor must provide on-site support, be capable of handling repairs for various hospital bed types, and have parts availability from original equipment manufacturers. The contract explicitly requires maintenance for all bed types, with no option for partial service proposals, and repairs are to be performed by removing equipment from the facility, not in patient rooms.

a. No

5. Is this full maintenance, Corrective, PM, and Unscheduled repairs, contract or will Biomedical Engineering has first-look at all unscheduled repairs and when needed the contractor will be called for technical support and possibly on-site repairs?

a. This is a full maintenance, including corrective/unscheduled repairs and PMs. Biomedical Engineering may perform a first look but it is not a requirement and will be treated as a full maintenance contract.

6. Is this requirement pertaining to the removal of the bed(s) from the facility, the ward/floor, or the patient’s room?

a. Pertains to removal from the facility

7. Is this requirement specific to each make and model or more generalized showing experience and training on hospital beds?

10. Question: Is this to provide the Biomedical Engineering dept to have the first-look option and when needed they can call the contractor to help with troubleshooting and/or provide on-site repairs?

a. Yes, that is correct.

Additional Questions:

Question 1:

In Section D, point 5, the Phoenix VA specifies that a service agreement is required to provide annual preventive and repair maintenance on 176 Med-Surg beds, 5 ICU beds, and 4 Bariatric beds. However, Section D, point 6, refers to the corrective and maintenance plan only for Med-Surg beds and does not mention ICU or Bariatric beds. Could the Phoenix VA confirm whether the tasks described in Section D, point 6 also apply to the ICU and Bariatric beds?

The Patient Bed Maintenance Service Contract is to provide annual preventive and repair maintenance on 176 Med-Surg beds, 5 ICU beds, and 4 Bariatric beds.

Question 2:

Can our pricing proposal be partial and include only the full-service preventive maintenance for the 176 Med-Surg beds?

No!

Question 3:

As we are not an authorized supplier of replacement components for Arjo, VitalGo, or Hill-Rom, our pricing proposal for the 5 ICU beds and 4 Bariatric beds be limited to providing on-site support, while the VA sources components directly from the respective manufacturers.

No!
