About this file

This is an amendment to a previously combined solicitation extending the response deadline and providing answers to vendor questions regarding a radiology mammography tracking software requirement.

The Department of Veterans Affairs, Network Contracting Office 19 (VISN 19), located in Greenwood Village, Colorado, is soliciting a mammography tracking software solution for the Oklahoma City VAMC. The RFQ (solicitation number 36C25926Q0349) has been extended to April 3, 2026, at 11:00 AM Mountain Time. The requirement is for a tracking system to replace the existing Magview Luminary One system, with a target go-live date of May 1st. The solution must accommodate an annual volume of approximately 1,305 in-house mammography exams, 339 diagnostic exams, 262 ultrasounds, 32 MRI scans, and 11 biopsies. Legacy data migration is required from Magview Luminary One and CPRS systems. The solution must integrate with multiple systems including VISTA, CPRS, AGFA EI (PACS), and Powerscribe, and must support Tyrer-Cuzick Score risk assessment functionality. The contractor must support GE Pristina mammography equipment at a single imaging location. The government has a VA-managed private cloud environment available, and a cloud-based solution for PHI storage is acceptable. The product service code is 6525, NAICS code is 513210, and the place of performance is Oklahoma City, Oklahoma 73014.

No more questions will be accepted.

1. What is the preferred deployment timeline and target go-live date?

May 1st

2. What is the approximate annual mammography exam/imaging volume (diagnostic and screening exams combined Mammography, Ultrasound, MRI, Biopsy, etc.)?

During FY 25 Mammo in house 1,305 Diagnostic 339 Ultrasound 262

MRI 32

Biopsy 11

3. Is there an existing mammography tracking system or other source system currently in use that will be replaced upon award?

Magview Luminary One

4. Is any legacy data migration required? If so, what data sources, approximate record counts, and data elements are expected to be migrated?

Yes from magview luminary One and CPRS

5. Does the government have a VA-managed private cloud environment for deploying elements of the proposed solution?

Yes. We have a cloud environment

6. Will PHI be required to stay on-prem, or is a cloud solution acceptable?

Probably ok on cloud

7. What are the current mammography unit(s) (manufacturers and models)?

GE Pristina

8. The RFP specifies recording patient risk factors (e.g., family history, genetic predisposition). Is risk assessment functionality sought as part of the solution?

We use Tyrer-Cuzick Score, this functionality Must be part of the solution

9. Is there an existing mammography reporting system that the proposed solution is expected to integrate with, or is mammography reporting functionality required to be included as part of the solution?

Yes – Magview Luminary One

10. Can you get me an estimate of the following: Total annual study volume for the facility (this includes all exams, not just Mammography). And the total annual mammography exams for the facility.

11.

FY25
Mammo 2905
CT 15920
Xray 39183
MRI 7340
Nuke 6137
Ultrasound 6844

12. Is Vista-certified acceptance included in this project? As i understand it only, the South Korean owned MRS/Volpara/Lunit is vista certified in Breast Imaging.

This software will need to integrate with VISTA but uncertain about certification requirement

13. How many imaging locations are included in this RFQ?

Just 1 Ernest Childers

14. Do you perform any genetic testing?

Yes – but not a necessary part of this requirement

15. Do you perform bone density scans?

Yes -but not a necessary part of this requirement

16. Would you like electronic forms included to help gather clinical history prior to an exam?

An electronic template is needed, but we will be gathering clinical history from printed paper forms and entering manually

17. Which RIS or EHR system will need to be interfaced with?

CPRS, AGFA EI, VISTA

18. Will the interface be required with both the RIS and EHR, or is there one system that serves as the source of truth?

RIS and EHR

19. Please confirm that radiology reporting does not need to be included in the platform, and that this requirement is for tracking only, with radiologists reading/reporting in a separate system

Radiologist does not use this
Powerscribe needs to be connected – intergrated
Pacs=AGFA EI does need access

Here is an outline of the workflow: Veteran uses VISTA when checking in, Vista interfaces with Tracker system and PACS to connect images, information is read by radiologist using PACS via Powerscribe, which then triggers reports to doctors and other medical staff.
