About this file
This document is a Request for Quotation (RFQ) Amendment 0001 for grease trap vault cleaning services issued by the Department of Veterans Affairs Veterans Health Administration Veterans Integrated Service Network 19 (VA VHA VISN 19). The solicitation (36C25926Q0086) seeks a contractor to provide monthly cleaning services for outdoor underground and kitchen grease trap vaults, with a base period from 03-01-2026 to 02-28-2027 and four one-year option periods extending through 02-28-2031. The NAICS code is 562998 (All Other Miscellaneous Waste Management Services), and the product service code is S222 (Housekeeping - Waste Treatment/Storage).
The amendment extends the response due date to 12-31-2025 at 15:00 CST and includes vendor questions clarifying service requirements. Key clarifications include: only washing residue inside tank walls if there is a spill, considering the trap "clean" when 1-inch of grease remains, using a non-specified deodorizer after each removal, and servicing two different collection points (a grease interceptor and a recycle grease collection point). The total tank capacity is documented as 2,244 gallons, though current vendor removal has been around 1,000 gallons. Contractors are expected to submit pricing for monthly services across the base and four option years.

Vendor Questions:
Q: Does the vault style grease trap or aboveground grease trap require pressure washing at any time?
A: Only if there is a spill on the outside, we require that all residue on the inside walls be washed off every time, but only the inside of the tank would be considered routine.
Q: SOW states "clean" it with a minimum of 1-inch of grease remaining. Is removing the contents with a minimum of 1-inch of grease remaining all that is necessary to be considered "clean" or are there other requirements?
A: Removal at the 1 inch level would be considered clean.
Q: Is there a specific deodorizer that needs to be used and is there a recommended application?
A: There is not a specific deodorizer, recommended application is to apply deodorizer every time grease is removed.
Q: The SOW states that the trap capacity is 2,244 gallons. However, during our site visit and inspection, our team confirmed that the trap currently in place appears to be 500 gallons. We are wondering if the 2,244 figure in the SOW may have been intended to represent pounds rather than gallons.
A: The documentation that we have shows 1000 gallons being removed by our current vendor, the math on the size came up as 2244 gallons for the tank, while we have never had that much removed we want to provide the most accurate data to assist with this process.
Could you please confirm which measurement is correct so we can ensure our proposal is accurate?
Q: After looking at the pictures you have 2 different things here. One looks to be a grease interceptor and one looks to be recycle grease. Is that the case?
A: That is correct, we will need both collection points to be serviced with this contract.
