CONTINUATION PAGE
| Question 1: | I just want to make sure you are only looking for speciation of legionella and no serotyping. I do see in the bid that it mentions having the ‘ability’ to serotype, but doesn’t say if it is required or to what extent. We definitely have the ability to serotype, we can serotype in groups, serotype out all 14 L. pneumophila serotypes, or we can serotype out every legionella species. Do you require serotyping of any kind, if so, what level is required by the VA? |
| Answer 1: | If L. pneumophila is detected, laboratory will determine and report the serogroup (1-14) |
| Q2: | Please confirm that the Legiolert method by IDEXX is acceptable for this project. Our laboratory has participated in, and passed the CDC's performance evaluation by this method. |
| A2: | No. |
| Q3: | Does the lab have to monitor the temp, pH and biocide after receiving the samples? |
| A3: | No. |
| Q4: | When the turbidity of samples is high - filtration of 250 ml or 1000 ml becomes very difficult and may in fact lyse the bacteria. Can we filter lower volumes and qualify samples in such cases? |
| A4: | No. |
| Q5: | Positive samples are retained for 30 calendar days - do we retain plates or water samples? |
| A5: | Water samples. |
| Q6: | Notification of positive sampling results will be made within two working days of making the determination - Is this for the lab reporting Legionella positives? Legionella can take anywhere from 72 h to 7 days to grow. Please advise? |
| A6: | Once positive results are identified, including serotype, notification to the VA facility is required. |
| Q7: | Safe Drinking Water for Dental water lines - Needs Heterotrophic Plate count. HPC has a short hold of 8h, but can be analyzed up to 24 h with a qualifier (method stated). Is this acceptable? |
| A7: | Laboratory to utilize Standard Spread Plate Method 9215C using R2A Agar. |
| Q8. | On Answer 8 (Amendment 00001) it states that the contractor will be responsible for collecting Dental samples, yet on Answer 17 you verify that you only want containers and not a tech to come to the site for CLINS 003, 004, and 005. Could you please clarify what will be expected from the contractor for each Dental related CLIN: |
| A8: | CLIN X003 – Contractor or VA responsible for collection? Contractor |
| CLIN X004 – Contractor or VA responsible for collection? VA | |
| CLIN X005 – Contractor or VA responsible for collection? VA |
| Q9: | On Attachment A, CLIN 003 it anticipates 300 annual dental samples, and on Answer 10 it says “For Dental water samples, use an approximate count of 3000 samples for the purpose of pricing. Was this a typo or should we now anticipate an annual quantity of 3,000 Dental samples? |
| A9: | Total annual samples were estimated as follows: 95 samples/facility per quarter x 4 quarters x 8 Facilities. |
| Q10: | It is hard to anticipate a dental price when we are unsure of how many samples to anticipate per site when we have to factor in hourly costs and shipping costs but don’t have a number to break that down by. Could you please provide a breakdown of estimated quantities per site for dental? |
| A10: | see response to Question 9. |
Applies to Questions 11 and 12: Page 6, under the section for Dental Waterlines: it states that the contractor needs to provide comprehensive instructions on how samples will be collected, preserved, and transported to the laboratory for analysis, to each facility under the contract. Then on page 7, it states that for non-routine sampling, sampling bottles and supplies must be provided to the requesting Dental Clinic within 2 business days of being notified of the need to sample. However, also on page 7, it notes that the contractor will be collecting the waterline samples.
| Q11: | We would like to confirm that the dental waterline sampling will be conducted by the contractor. |
| A:11: | Contractor can coordinate to collect Dental samples at the same time other water samples are taken. |
| Q12: | For who/what purpose will the instructional guides serve at the dental facilities? |
| A12: | Instructional guides are for local Dental staff that may need to take water samples outside the normal sampling schedule. |
| Q13: | What specific methods are needed for the HPC and Legionella analysis? Enthalpy is CDC approved for Legionella using the IDEXX Legiolert method; is this acceptable for this contract? |
| A13: | No. |
| Q14: | Do the VA have a timeline on when samples will be collected, or a number of samples we may receive at one time at the lab for Legionella? |
| A14: | Sample collection schedule will be established once contract is awarded. |
| Q15: | Does the VA have an approximate quantity of swabs that may be collected each quarter? |
| A15: | No. |
