About this file
This is a Questions and Answers document for a pest control services contract at the Marion VA Medical Center. The document addresses several key aspects of the contract, including clarification that services are provided "as needed" for trapping and removal of animals such as raccoons, squirrels, feral cats, skunks, and bats. The facility encompasses approximately 500,000 square feet of building space, with expected expansion in coming years.
The document clarifies that regular service hours are 8:00 AM to 4:30 PM, with after-hours work required in certain areas where pest control cannot be performed during patient care hours. The COR (Contracting Officer's Representative) must approve after-hours service, which can extend to approximately 5:00 PM. The document references a previous 5-year contract and indicates minimal changes to the Statement of Work except for updates to the Pest Control Schedule and some language refinements. Regarding bed bug treatments, the current contractor typically charges the same rate regardless of room size variations.

Questions and Answers As afar as the line items, I believe that’s the CLIN, I have attached a copy of the previous contract from the last 5 years for your example. Please see section B.3 PRICE/COST SCHEDULE ITEM INFORMATION. Starts around page 15 right after the Pest Control Schedule. It shows the same format and info as the one here which I am assuming Sue made up. Am I safe to assume that this info will be filled in accordingly with the new pricing of the awarded vendor?
I am also assuming Sue did it this way with the same format because very little has changed from the last SOW except a few changes on the “Pest Control Schedule, exhibit 1” and where she tidied up some wording. Does this help you?
Also, on the original CLIN, “Trapping and Removal of animals to include raccoons, squirrels, feral cats, skunks, bats and similar nuisance wildlife at the Marion VA Medical Center. As needed...” , is stated as “as needed… Looks like “As needed…” didn’t make it on the new one. But it is definitely, “as needed”.
At present, the total square footage of all buildings and areas of the main campus equal in the ballpark of 500,000 square feet which will expand over the next few years with added areas and buildings. I assume the vendors bidding on this determine if they can handle the amount of area along with the tasks in the SOW at the price they are bidding at.
As far as afterhours work, that’s a really, good question and one that I, being new at this have not given much thought too as the present vendor has had this worked out with the departments for the last 5 years. As the SOW says, the regular hours are 8 to 4:30. The areas listed in the Pest Control Schedule for afterhours are because normally pest control cannot be performed while patients are being seen or cared for which should be up to 4:30. So, logically it makes since that these areas can be scheduled for the monthly check/service throughout the month at the end of the day. The COR approves after hours service. As the COR I have no issue with service going to approximately 5 PM if needed for those areas. I think the wording is so the vendor understands they cannot service those areas while patient care is going on. If we need to change the SOW to reflect that, I’m good. I’m sure those are small details that may get worked out in a COR/vendor discussion once awarded.
For the bed bug room sizes, they can very greatly due to the many types of rooms that may be exposed. I do know the present contractor usually charges the same rate for all bed bug cases.
