QUESTIONS AND ANSWERS FOR 36C25226Q0480

Dorma Kaba Contract

1. Can the Government provide the specific model numbers of the 118 Dormakaba RT+ locks currently installed?

Answer: Product: DormaKaba 79RT Plus Series. Model: RT Plus, with Small Format Interchangeable Core (SFIC) for metal key override.

1. Can the Government provide an inventory list of the lock locations, readers, controllers, and associated hardware for pricing purposes?

Answer: All lock locations are in buildings 123, and building 150 (Fisher House). Building 123 is separated into (2) patient care environments, Hoptel and Dom. Hoptel is half of A-wing with (15) RT Plus locksets, the Dom has (78) RT Plus locksets, and building 150 (Fisher House) has (25) RT Plus locksets.

The (3) computers with community software control the individual spaces, (1) for Hoptel (located in A-wing of building 123), the Dom, which is part of A-wing, B-wing, C-wing, and D-wing, and finally (1) in building 150 (Fisher House). These computers are separate and do not communicate with each other. Also, at the request of building 123 management, B-wing RT Plus locksets were not programmed to community software, at request of staff in building 123 B-wing prefer to use metal key override.

The Laptops with community software have a card programmer to issue access cards (DESFire EV3 RFID cards) to patients, along with HH6 handheld for programming locksets.

The RAC 5 XT’s are in building 123, locations answered in question 3.

1. How many RAC 5XT controllers are included under this requirement?

Answer: Currently there are (5) RAC 5XT’s in building 123, there are (3) in A-wing, (1) in C-wing, (1) in D-wing. Building 150 (fisher house) does not utilize RAC 5 XT’s

1. Are replacement parts expected to be included within the preventive maintenance CLINs, or will replacement parts be ordered separately under the optional repair/replacement CLINs?

Answer: Repair of failed locksets with replacement parts falls under optional CLINs.

1. For the optional CLINs involving lock repairs, lock replacements, and installation of new locksets, does the Government have preferred lock models and configurations?

Answer: The same model currently installed must be RT Plus and compatible with Small Format Interchangeable Core (SFIC). If different models compatible with community software are proposed, the Government will review as necessary.

1. Does the Government currently utilize Dormakaba Community software, and if so, what version is currently installed?

Answer: Community software version 2.3, contractor to update software as stated in SOW 2. B. 14. and 15.

1. Will the contractor be provided remote access to the system for troubleshooting and software support, or will all support activities require on-site coordination?

Answer: The computers are normally off network, and troubleshooting or software support will be on-site.

1. For the required 4-hour emergency response, is remote support acceptable as the initial response provided the issue can be addressed remotely?

Answer: Per the SOW 2. B. 16., “The contractor shall have an emergency response plan that ensures on-site or remote support within 4 hours of incident report.” During an emergency, a response plan is required within 4 hours to ensure system down time is minimized. As per the SOW, if the contractor can assist in resolving issues remotely this is acceptable, however this may not always be sufficient and reliance on remote support only is not acceptable.

1. Are there any known recurring issues, deficient locksets, or controllers that the successful contractor should anticipate supporting during the base period?

Answer: There are no recurring issues, the system is newly installed. Support provided is listed in the SOW.

1. Is there an incumbent contractor currently performing these services? No If so, can the Government provide the current contract number and annual contract value? New Contract Answer: There is no current contractor providing maintenance to the system.
