About this file
This file documents questions and answers from an onsite facility visit conducted on May 4, 2026, for a trayline procurement solicitation (RFQ 36C25026Q0489) at the Department of Veterans Affairs facility in Cleveland, Ohio. The VA facility has an average daily census of 375 patients with meal preparation for approximately 400 servings. The current trayline operates on both sides with cold items on one side and hot items on the other, though the top conveyor is missing some pieces. Cold top tables on one side remain functional. The facility is open to reconfiguring the space, including removing a half wall and relocating adjacent refrigerators, but is not planning to transition from printed tray tickets to a digital system.
The Government requires a new trayline system compatible with existing facility infrastructure that operates within current electrical, plumbing, and ventilation capacities without requiring construction or major utility modifications. Access for equipment delivery and removal is available through a loading dock and kitchen doors. Contractors must submit questions by May 6, 2026 at 1 PM EST, with Government responses posted May 7, 2026. Offers are due Friday, May 15, 2026 at 5 PM EST via email to Rachelle.Hamer@va.gov with the subject line "RFQ 36C25026Q0489|Trayline." The procurement seeks a brand name trayline or equal solution meeting the specified operational requirements.
