Christina B. Smith Contracting Officer Courier Services Robley Rex VA Medical Center and Community Based Outpatient Clinics (CBOC)

1. What was the cost of the final full option year of the previous contract?

A: This is a new Requirement, no previous contract for the facility

1. How many drivers/vehicles are currently used to service the current contract?

A: The couriers we have used for past services have their own staff and/or will call drivers.

1. What is the vehicle size currently servicing this location?

A: It can be a sedan, SUV. The size is not as important as being prepared to have a cooler with ice packs, and to be able to transport mail, which is normally letters being sent out to Veterans for their appointments.

1. Do the CLIN quantities include as-needed trips only? If so, are the quantities annual/accurate? If not, where are the quantities for the scheduled trips? For example, Greenwood CBOC is scheduled twice daily M-F, which would be 498 trips per year (260 business days minus 11 holidays), but the CLIN quantity is set at 65 per year.

A: All CLIN’s are as needed trips and is an estimate of the number of trips the facility will require

1. Instructions on submittal indicate that we should submit quotes as (1) one file. Can you please clarify if this PDF should include the entire RFQ document? Can we submit the Price/completed RFQ as a separate attachment?

A: Yes, can submit the Price Cost Schedule as a sperate Document. Ensure the include all requested documents

1. Regarding specific employees’ information: It is common practice for small businesses that the drivers, cars and other equipment used for a contract are not sourced until after an award has been made, for cost effectiveness and to reduce loss. However, we will be forwarding our standard Training Certificates-Procedures for your reference, is this information acceptable?

A: Yes

1. Regarding evaluation factors for the price Volume: we usually like to provide a “Pricing realism” cost break-down, to include SCA minimum per year, the number of drivers, hours and miles that are estimated to be required for performance, and other costs. Is it acceptable that we forward this Pricing Realism chart with our Price response?

1. Yes
