About this file
This document is Addendum No. 1 for Request for Bid (RFB) #2025-12 issued by the Conejo Valley Unified School District (CVUSD) Purchasing Department for Newbury Park High School STEM Building Furniture. The bid is scheduled for submission by 2:00 PM (PT) on Tuesday, July 29, 2025, with a purchase order anticipated to be issued after the Board of Education's review on August 13, 2025. The project involves a one-time furniture purchase for STEM building classrooms, with delivery and installation responsibilities falling to the bidder. All classrooms are located on the ground level, and the district plans to phase the project by completing 2-3 classrooms at a time, storing assembled furniture in cargo containers until needed.
The addendum includes a comprehensive Q&A section addressing key bidder inquiries about delivery, installation, payment terms, and product specifications. The district will not accept deposit payments, preferring Net 30 payment terms invoiced after product delivery. Bidders may propose equivalent products, though the district retains final determination of acceptability. Delivery, uncrating, and assembly can occur during school hours, and fingerprinting/background checks will only apply to on-site personnel. The purchase will be made on a single purchase order, with all products ordered simultaneously, and no option for splitting the award among multiple vendors.

Questions and Answers
Q.1 Do you want the furniture set in the rooms after it is assembled? If so, are all the rooms on the first floor? If not, is there an elevator?
Answer: Bidder is responsible for delivery, uncrating, and assembly (if required). All classrooms are on the ground level. See Answer to Question 3 below as well.
Q.2 Is there a loading dock, we can’t tell from the images?
Answer: There is no loading dock on site.
Q.3 Do you have a specific date as to when you expect install to take place?
Answer: Because the project will be phased, with completion of 2-3 classrooms at a time, we plan on storing the assembled furniture in cargo containers. Therefore, the Contractor can deliver and assemble all at once, and the District will remove items as needed and place into the classrooms.
Q.4 What delivery assistance will be needed when these products arrive on site? Is there a loading dock at the delivery location? Is any assembly, placement, or installation required?
Answer: Please see Answers to Questions 1, 2, & 3 above.
Q.5 I saw that we can submit equivalent products when a brand name is listed. Are we able to create two line items, one as the original and one as an alternate?
Answer: No.
Q.6 I do not see payment terms. Will a bid requesting a deposit payment be acceptable?
Answer: No. Our preferred payment terms are Net 30, and invoicing in arrears upon product delivery.
Q.7 As an out of state bidder, we do not anticipate being on site. Rather, our installers will be on site to deliver and install the product. Just to confirm, the fingerprinting and background check requirements would only apply to the people that will be on site?
Answer: Yes.
Q.8 Any anticipated PO issuing date or deliver-by deadlines? Mostly asking to help manufacturers guarantee they can hold pricing, and to help installers quote.
Answer: Purchase order (PO) to be issued soon after our Board of Education’s review/approval on August 13, 2025.
Q.9 Will all product be ordered on one PO? Appears to be the case but wanted to confirm.
Answer: Yes.
Q.10 Install Questions: Can install happen during school hours, or must it be outside school hours? Is any stair carry involved? Across how many classrooms?
Answer: Please see Answers to Questions 1, 2, & 3 above. Bidder is responsible for delivery, uncrating, and assembly (if required). Delivery, uncrating, and assembly (if required) can occur during school hours.
Q.11 Do you need the exact model, or can we provide any equivalent?
Answer: You may bid an equivalent product, but the District has final determination as to whether the bid product is an acceptable, equivalent product.
Q.12 Are you able to clarify this statement on the specifications sheet? *If a brand name is listed, the District will consider "or equivalent."
Answer: Please see Answer to Question 11 above.
Q.13 Can you confirm if this is being awarded to one vendor or if it can be split up?
Answer: See Section 8 (Bid Items) in the General Conditions and Instructions for Bidding from the RFB No. #2025-12 document.
Q.14 Is this being a one-time purchase or is this being purchased throughout the year? If throughout the year please give more details on how often, how many at once, etc.
Answer: This is a one-time purchase.
